Corporate Invoice Dashboard
athenaOne for Hospitals & Health Systems
This page shows all the information you need to resolve outstanding balances on corporate invoices, including the amounts owed and the days in Accounts Receivable (aging value). The Corporate Invoice Dashboard is available to all athenahealth clients that use corporate billing.
On the Main Menu, click Financials. Under MONEY MANAGEMENT, click Corporate Invoice Dashboard
On the Corporate Accounts page, click the name of the corporate account in the list. Click the Billing tab. Under Financial Overview, click View invoices.
To access this page, your practice must use the Corporate Billing feature, and you must have the Corporate Posting permission. This permission is included in the following roles:
- *Clinicals-only Practice Superuser
- Management - Collector
- Management - Communicator
- *Payment Poster
- *Practice Superuser
- Superuser - Collector
You can display the address, phone number, and other information about a payer on all tabs of the Corporate Invoice Dashboard and on the Invoice page.
- On any tab of the Corporate Invoice Dashboard, click the payer name in the Payer column.
- On the Invoice page, click the payer name at the top of the page.
You can edit information about the payer on the Locally Administered Insurance Packages page. To edit this page, you must have the Local Insurance Package Administration permission.
Note: Some of the settings for the payer displayed on the Corporate Invoice Dashboard may not appear on the Locally Administered Insurance Packages page. To see those settings on the Locally Administered Insurance Packages page, your practice must have the Corporate Billing feature enabled.
- Display the Corporate Invoice Dashboard: On the Main
Menu, click Financials. Under MONEY MANAGEMENT, click Corporate Invoice Dashboard.
The Outstanding Amounts tab appears. - First billed on — You can set a date range to filter corporate invoices by the first billing date, or you can accept the default value (any date).
- To filter the results using other criteria, click Show advanced filters.
Additional filter fields appear. - Last billed on — You can set a date range to filter corporate invoices by the most recent billing date, or you can accept the default value (any date).
- Payer — Click All, or click Selected and then select the payers. In the search bar at the top of the Payer list, you can start typing the name of the payer to filter the list and find the payer that you are looking for.
Note: If your list contains more than 500 payers, you can click into the list and start typing the name of the payer that you are looking for. The selection will jump to the payer as you type. You can select multiple payers by holding down the CTRL key and clicking on payer names. Note that if you attempt to search by typing, any payers that you previously selected are deselected. - Department — Click All, or click Selected and then select the departments.
- Provider group — Click All, or click Selected and then select the provider groups.
Note: This field appears only if your practice uses provider groups. - Click Filter. The filtered search results appear in the Outstanding Amounts by Payer table.
- To order the table results by any column (for example, average age), click the underlined column heading once or twice, depending on whether you want to display the results in ascending or descending order.
- To see all invoices associated with one payer, click View invoices for any outstanding amount.
The Search Invoices tab appears and displays information about the invoices for that payer.
Note: Clicking the View invoices link performs a search for all invoices for that payer, not only outstanding invoices. Therefore, the Search Invoices tab may show invoices with a $0 outstanding amount. - To reset your filter options, click Reset.
When you click the Search Invoices tab after you open the Corporate Invoice Dashboard, you must set at least one filter.
- Display the Corporate Invoice Dashboard: On the Main
Menu, click Financials. Under MONEY MANAGEMENT, click Corporate Invoice Dashboard.
The Outstanding Amounts tab appears. - Click the Search Invoices tab.
- Invoice number — If you know the invoice number, you can enter it in this field and click Search.
- First billed on — You can set a date range to filter corporate invoices by the first billing date, or you can accept the default value (any date).
- Last billed on — You can set a date range to filter corporate invoices by the most recent billing date, or you can accept the default value (any date).
- Age (days) — Select one or more options to filter your search by the age (in days) of the invoices. The options are 0 - 30, 31 - 60, 61 - 90, 91 - 120, and 120+.
- Payer — Click All, or click Selected and then select the payers. In the search bar at the top of the Payer list, you can start typing the name of the payer to filter the list and find the payer that you are looking for.

- To display the Invoice page, click a link in the Invoice ID column.
- To reset your filter options, click Update search criteria.
- Display the Corporate Invoice Dashboard: On the Main
Menu, click Financials. Under MONEY MANAGEMENT, click Corporate Invoice Dashboard.
The Outstanding Amounts tab appears. - On the Outstanding Amounts tab, you can click View invoices for any outstanding amount to see all invoices associated with that payer, or you can click the Search Invoices tab.
- If you clicked the Search Invoices tab, you can specify filter options to display a list of invoices.
- On the Search Invoices tab, click a link in the Invoice ID column.
The Invoice page appears. - On the Invoice page, click view invoice to open the invoice that you want to see. (Each invoice sent to the payer has a view invoice link.)
The actual invoice (in .pdf format) appears. You can print or save the invoice.
Note: The .pdf file shows the invoice exactly as it was sent to the payer. The amounts shown in the Total Amount column on the Invoice page reflect the current amount owed, including any adjustments or changes made to the claims since the invoice was sent. Therefore, the amount in the Total Amount column may not match the .pdf invoice that you see when you click view invoice.
- Display the Corporate Invoice Dashboard: On the Main
Menu, click Financials. Under MONEY MANAGEMENT, click Corporate Invoice Dashboard.
The Outstanding Amounts tab appears. - On the Outstanding Amounts tab, you can click View invoices for any outstanding amount to see all invoices associated with that payer, or you can click the Search Invoices tab.
- If you clicked the Search Invoices tab, you can specify filter options to display a list of invoices.
- On the Search Invoices tab, click a link in the Invoice ID column.
The Invoice page appears. - On the Invoice page, click view EOB to open the EOB that you want to see. (Each EOB from the payer has a view EOB link.)
The explanation of benefits (EOB) document appears. You can print or save the EOB.
An unpostable/remittance record represents funds or remittance that athenahealth cannot post to a patient or charge. Each record is classified under an unpostable/remittance record type, and there is a workflow to resolve each type (see Remittance Record Types Summary).
- Display the Corporate Invoice Dashboard: On the Main
Menu, click Financials. Under MONEY MANAGEMENT, click Corporate Invoice Dashboard.
The Outstanding Amounts tab appears. - Click the Unpostables tab.
The list of unpostables appears. - Filter by — You can filter the list of unpostables using one or more of these fields:
- Payer — Click All, or click Selected and then select the payers. In the search bar at the top of the Payer list, you can start typing the name of the payer to filter the list and find the payer that you are looking for.
- Type — Click All, or click Selected and then select the remittance types from the list.
- Date created — You can set a date range to filter unpostables by their creation date, or you can accept the default value (any date).
- Amount — Enter the amount of the unpostable.
- Check number — Enter the check number for the unpostable.
- Check date — Enter the check date for the unpostable.
- Check amount — Enter the amount of the check for the unpostable.
- Click Filter.
The filtered search results appear in the Unpostables table. - To order the table results by any column, click the column heading once or twice, depending on whether you want to display the results in ascending or descending order.
- To reset your filter options, click Reset.
athenaOne assigns each remittance/unpostable record a unique unpostable ID number. All actions on unpostable records are tracked via an audit history that is available on the Remittance Record page. athenahealth recommends that you close all unpostables in a timely manner. It is at the discretion of your practice to determine when an unpostable should be closed.
- Display the Corporate Invoice Dashboard: On the Main
Menu, click Financials. Under MONEY MANAGEMENT, click Corporate Invoice Dashboard.
The Outstanding Amounts tab appears. - Click the Unpostables tab.
The list of unpostables appears. - Filter by — You can use the filter fields to display a list that matches your criteria. Click Filter after you set the fields.
- In the Unpostables table, click a number under the Total Records column or click an amount under the Total Amount column to display the Unpostables Worklist.
- In the Unpostables Worklist, click the linked unpostable ID number to display the Remittance Record page, where you can take action on the unpostable.
Using the Corporate Invoice Dashboard, you can prioritize your follow-up efforts with employers and companies that you bill via corporate invoicing by:
- Targeting the most delinquent and highest value invoices first
- Identifying problematic payers by looking at the average age of all invoices for any payer and comparing that age to the average age for other payers
The Corporate Invoice Dashboard is designed to give billing staff and billing managers visibility into the amounts and aging of their corporate invoices for each company that they bill using Corporate Billing. Using the dashboard, you can:
- See the total amount and aging of all outstanding invoices.
- Sort and filter invoices and download them to Excel for offline viewing.
- Search for any invoice by payer, department, provider group, billed-on dates, invoice age, or invoice number.
Note: To search invoices by provider group, your practice must be configured with multiple provider groups. - Compare remittance time between companies that you invoice to identify problematic payers.
- View full contact information for each company, as well as insurance package settings.
The Corporate Invoice Dashboard consists of these tabs:
- Outstanding Amounts tab
- Search Invoices tab
- Unpostables tab
Any payer or company to which you've submitted an invoice in the past year should appear on the Corporate Invoice Dashboard. Payers and companies that have outstanding invoices appear on the Outstanding Amounts tab. To view all invoices for a payer or company that is not listed on the Outstanding Amounts tab, click the Search Invoices tab and select the payer or company from the Payer list.
Note: You can use the Download to Excel option on the Outstanding Amounts and Search Invoices tabs of the Corporate Invoice Dashboard to download information to Excel for offline viewing.
The Outstanding Amounts tab displays:
- Total value of outstanding invoices by employer or company (that is, by payer)
- Breakdown of invoices into 30 day, 60 day, 90 day, 120 day, and >120 day buckets
- Average age of the outstanding balances
The Search Invoices tab displays:
- Invoice age (days in accounts receivable)
- First and last dates that the invoice was sent
- Invoice total billed amounts (total charges included in the invoice)
- Invoice outstanding amounts (total open (unpaid) charges included in the invoice)
Note: The Total outstanding amount displayed at the top of the Search Invoices tab includes only charges in a BILLED status; therefore, this amount may differ from the sum of all invoices listed in the Invoice Outstanding Amount column (the same invoice outstanding amount appears in the Excel file if you click Download to Excel). The amounts listed in the Invoice Outstanding Amount column can include charges that are in statuses other than BILLED, such as HOLD, MGRHOLD, or OVERPAID.
The Unpostables tab displays:
- Oldest date of unpostable records for all payers and for each specific payer
- Total number of remittance (unpostable) records for all payers and for each specific payer (click a linked number to display the Unpostables Worklist)
- Total amount for all unpostables for all payers and for each specific payer (click a linked dollar amount to display the Unpostables Worklist)
On the Invoice page, you can see detailed information about corporate invoices, including:
- All claims associated with the invoice, with links to the Claim Edit page
- Detailed information about each claim: total amount, outstanding amount, claim status, patient name, rendering and supervising providers, and department
- Links to the invoices and EOBs associated with the claims
You may not see a claim on the Invoice page for one of these reasons:
- If the insurance package for that claim changed after the claim was first submitted, it would no longer be associated with the original invoice and would now appear on the Invoice page under the new payer or company.
- If the Rebill updated invoices setting for the payer or company associated with the invoice is set to No, any edits made to the claim after it was first submitted caused it to be resubmitted with a new invoice number.
Note: You can see the value of the Rebill updated invoices setting by clicking the name of the payer at the top of the Invoice page.

The sum of all amounts in the Invoice Outstanding Amount column may differ from the amount shown in the Total outstanding amount displayed at the top of the Search Invoices tab. The Total outstanding amount includes only charges in a BILLED status; the amounts listed in the Invoice Outstanding Amount column can include charges that are in statuses other than BILLED, such as HOLD, MGRHOLD, or OVERPAID.
