Patient Refund Worklist

This page allows you to view and approve refunds for patient accounts that meet the policy criteria specified on the Patient Refund Policies page.
To use the Patient Refund Worklist, you must first set up at least one policy on the Patient Refund Policies page.

On the Main Menu, click Financials. Under REFUNDS, click Patient Refund Worklist
You must have the Billing Admin: Create Refund permission to approve refunds.
- Display the Patient Refund Worklist page: On the Main
Menu, click Financials. Under REFUNDS, click Patient Refund Worklist.
- Refund policy — Select the policy to use.
- Provider group (appears if your practice uses athenaEnterprise) — Select the provider groups by which to filter your results.
Note: You can select only provider groups to which the policy has been set up to apply. - Primary department — Select the departments by which to filter your results. If none are selected, all departments are included.
- Click Show Worklist to display the list of eligible patient accounts.
Note: Patients who do not have a primary department listed cannot be refunded. If a patient does not have a primary department listed, their row is grayed out and disabled in the worklist. You can click the patient's name to go to their Quickview and add a primary department or issue an individual refund. - Scroll down to review the worklist. Click the checkboxes to select or deselect accounts. The Total Refund Amount at the bottom right of the worklist shows the total dollar amount that is selected to be refunded.
Note: To view the criteria that were used to obtain this list, click Refund criteria. - Click Approve Patient Refunds to approve the selected refunds. The refunds now appear on the Refund Checks In Process page.
- Display the Refund Checks In Process page: On the Main Menu, click Financials. Under REFUNDS, click Refunds in Progress.
- Date — Enter the appropriate date range or select a pre-populated range.
- Payment method — Select a payment method.
- Provider group — (appears if your practice is an athenaEnterprise organization) Select a provider group.
- Click Find Refund Checks In Process to display transactions.
A table of refund checks in process appears. - Add Check # — Enter the refund check number. You can tab between fields if you are entering more than one.
- Click Save.
Note: Click Download as CSV to download a list of these transactions, along with address information, to a file. The CSV report also contains a Transaction ID column, which provides a unique identifier for each refund check.
