Check Patients in and Start Group Sessions
As group session participants arrive at your behavioral health practice, access your Inbox or the Calendar to check them in and start the session. Optionally, you can add a prep note or start a group note before patients arrive.

Optional: Client prep
Before a patient arrives for check-in, you have the option to enter a prep note or an initial group note for the upcoming session. While not required, you can use this option to enter reminders or an outline for a group discussion.
To prep a patient, click athenaOne in the top navigation bar to access your Inbox. In the calendar view, click the group session appointment for a patient. Click Go to Intake Prep or Go to Exam Prep.
In the encounter document, enter a Prep Note or initial text for the Group Note.
When finished, click Done with Intake Prep or Done with Prep. When the encounter begins, the text you entered appears in the active encounter document and can be modified as needed during or after the session.
Check in patients and start group sessions from the Inbox
As patients arrive, you can check them in from the Non-Clinician Inbox or from the Calendar. Review the following to perform a patient check-in and start a group session from the Inbox.
If you are a non-clinical member of staff, use this method to check patients in. If you are a provider, see Check in a patient and start a group session from the Calendar to perform a check-in.
Non-Clinical Staff: Check a patient in from the Inbox
- In the top navigation bar, click athenaOne to open the Inbox.
- In the calendar pane to the right of the Inbox, click the TODAY tab. Click the appointment with the name of the patient who has arrived for the session.
- In the lower left of the Appointment page that opens, click Start Check-In.
- Verify the patient's appointment, registration, and insurance information.
- Click Done with Check-in. After the first group patient is checked in , the group session starts in the system. After the session completes, providers document the group session.
Check in patients and start group sessions from the Calendar
If you are a non-clinical member of staff or a provider, you can also check in a patient from the from the Calendar.
Note: You must have the Schedule Patient permission to perform this procedure.
Check a patient in and start a group session from the Calendar
- In the top navigation bar, click Calendar > View Calendar.
- In the appointment calendar, click the group session appointment. Click Appointment to the right of the patient's name.
In the patient's appointment, click the group session link in the upper left.
- In the lower left of the Appointment page that opens, click Start Check-In.
- Verify the patient's appointment, registration, and insurance information.
- Click Done with Check-in. After the first group patient is checked in, the group session starts in the system. Either during the session or after the session completes, you can document the group session.
