Authorization Management Admin — Hold Authorization for Review

This page allows you to manage when athenaOne starts work on authorization tasks for certain providers and order types based on when a provider typically completes the clinical documentation. You can set specific authorization tasks to "hold for review" by default.
Note: If athenahealth previously configured hold conditions for specific departments, you can access those existing conditions on this page (athenahealth will not change these conditions).
On the Main Menu, click Settings > Clinicals. In the left menu, under Practice Links — Authorization Management, click Hold Authorization for Review
To access this page, you must have the Clinicals or Clinicals Admin role or permission.
You can create conditions to automatically hold authorizations for review. You can select various combinations of fields when you create a condition. For example, you can create a condition for all authorization tasks for a specific provider, or you can create a condition for cardiac echo studies for all departments in your organization.
Tip: Use the Condition Summary feature to see an exact description of the condition you're creating as you create it.
Best practice: The View Conflicting Conditions option is enabled by default. athenahealth recommends that you leave this option enabled (athenaOne does not allow you to create conflicting or duplicate conditions). As you enter information in the fields of the Create New Condition section, any existing conditions that match your entries appear in the Matching Hold Authorization for Review Conditions table.
- Display the Authorization Management Admin — Hold Authorization for Review page: On the Main
Menu, click Settings > Clinicals. In the left menu, under Practice Links — Authorization Management, click Hold Authorization for Review.
The Create New Condition fields are displayed. - Ordering Provider — Select one or more ordering providers from the menu.
- Department — Select one or more departments from the menu.
Tip: If you want to hold for review all authorization tasks for the selected departments, you can leave the other fields (Ordering Provider, Order Group, Order Genus, and Order Type) blank. - Order Group — Select an order group from the menu: CONSULT, IMAGING, PROCEDURE, or SURGERY.
- Order Genus — Select an order genus from the menu. The menu options depend on the order group that you selected (CONSULT, IMAGING, PROCEDURE, or SURGERY).
- Order Type — Select an order type from the menu. The menu options depend on the order group and order genus that you selected.
- Click Save or Save and add another.
Note: If your new condition was created successfully, you see a confirmation message.
- Display the Authorization Management Admin — Hold Authorization for Review page: On the Main
Menu, click Settings > Clinicals. In the left menu, under Practice Links — Authorization Management, click Hold Authorization for Review.
The Create New Condition fields are displayed. - In the Existing Hold Authorization for Review Conditions table, locate the condition that you want to edit.
Tip: If you have many conditions and need to search for a condition to edit it, you can enter information in one or more of the Create New Condition fields. The table (now labeled Matching Hold Authorization for Review Conditions) is filtered to display only matching conditions. - Before you edit a condition, you can review all changes made to this condition by clicking Audit History in the Audit History column. The audit history includes the date that the condition was created, the username of the person who created it, and any edits or deletions made to the condition.
- Click the edit icon in the Actions column for the condition that you need to edit.
The Edit Condition section appears. - Edit any fields for this condition.
- Click Save.
Note: To finish your edits and then create a new condition, you can click Save and add another.

Menu, click Settings > Clinicals. In the left menu, under Practice Links — Authorization Management, click Hold Authorization for Review.
The Create New Condition fields are displayed. - In the Existing Hold Authorization for Review Conditions table, locate the condition that you want to delete.
Tip: If you have many conditions and need to search for a condition to delete it, you can enter information in one or more of the Create New Condition fields. The table (now labeled Matching Hold Authorization for Review Conditions) is filtered to display only matching conditions. - Click the delete icon in the Actions column for the condition that you need to delete.
A message appears to confirm that you want to delete the condition. - To delete the condition, click OK in the message; otherwise, click Cancel.
A message confirms that the condition was deleted. - A deleted condition remains in the list of conditions with an Undelete option in the Actions column. To return a deleted condition to the list of active conditions:
- Click Undelete.
A message appears to confirm that you want to undelete the condition. - Click OK in the message to reinstate the condition (otherwise, click Cancel).
- Click Undelete.
By default, when you sign an order, an authorization task for that order is automatically created and sent to athenahealth for processing. However, certain orders require documentation that must be attached to the order before it is sent for authorization. In these cases, you need to delay the sending of the authorization to avoid delays in the process and possible denial of the authorization request.
Using the Authorization Management Admin — Hold Authorization for Review page, you can set up and manage conditions for when athenaOne starts work on authorization tasks for certain providers and order types.
Note: If athenahealth previously configured "hold for review" conditions for specific departments on your behalf, you can access those existing conditions on this page (these conditions are unchanged).
