User Guide — Delete Permissions for the Patient Chart
Practice administrators can control the permissions for encounters, documents, OB episodes, order groups, and flowsheets for the clinical and administrative staff.
- Display the Users page: On the Main Menu, click Settings > User. In the left menu, under Practice Links — Users, click Users.
- Use the Find User search fields to find the user.
- Click update next to the username.
- Click the Roles tab.
- View By: — Click the Practice option.
- Click Edit.
The roles and permissions list appears, with the roles and permissions that are assigned to the selected user checked. - Scroll down to the Clinicals Deletion role, and click the checkbox to clear it. This removes all the individual deletion permissions for the selected user.
- To assign specific deletion permissions to the user, scroll down and check the box for each deletion permission to assign. Leave the box clear to withhold a permission from the user.
- Click Save at the bottom of the page.
By default, all users are granted full deletion permissions via the Clinicals Deletion role. A role includes multiple user permissions. The Clinicals Deletion role includes the following permissions:
- Clinicals: Delete Document
- Clinicals: Delete Encounter
- Clinicals: Delete OB Episode
- Clinicals: Hide Order Group
- Clinicals: Hide Flowsheet
Practice administrators can restrict delete permissions via the Users page. Restricting deletion permissions for encounters, documents, OB episodes, order groups, and flowsheets reduces the risk of deleting relevant medical information. You can restrict a user's permission to delete information from the patient chart by modifying these permissions on the Users page.
Alice Smith is the new MA at Healthy Women. Vera Jones, the practice manager, sets up Alice's user account. Dr. Canterbury tells Vera that he doesn't want Alice to be able to delete encounters and OB episodes. By default, all users are granted full deletion permissions via the Clinicals Deletion role, so Vera needs to modify Alice's permissions on the Users page.
- Vera displays the Users page: On the Main Menu, click Settings > User. In the left menu, under Practice Links — Users, click Users.
- Vera uses the Find User search fields to find Alice's user account.
- Vera clicks update next to Alice's username.
- Vera clicks the Roles tab.
- View By: — Vera clicks the Practice option.
- Vera clicks Edit at the upper right.
The roles and permissions list appears, with the roles and permissions that are assigned to Alice checked. - Vera scrolls down to the Clinicals Deletion role and clicks the checkbox to clear it. This removes all the individual deletion permissions for Alice.
- Alice should retain permission to delete these items, so Vera scrolls down and checks these boxes:
- Clinicals: Delete Document
- Clinicals: Delete Order Group
- Clinicals: Hide Flowsheet
- Vera leaves these checkboxes clear, so Alice does not have permission to delete these items:
- Clinicals: Delete Encounter
- Clinicals: Delete OB Episode
- Vera clicks Save at the bottom of the page.
