NPIs and Other Numbers
This page allows you to administer National Provider Identifiers (NPIs), as well as other billing- and enrollment-related numbers for your practice.
On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Enrollment and Numbers, click NPIs and Other Numbers
You must have the practice superuser role or a Management role to access this page.
The athenaOne System can validate the NPI number you enter in real-time to ensure that it matches active information in the National Plan and Provider Enumeration System (NPPES):

Information such as names and department addresses are pulled in from the NPPES registry to save you time

Real-time validation of entered data against the NPPES registry reduces delays in fixing inaccurate data that holds claims
The athenaOne System notifies you when an NPI number or associated information doesn't match what is in the NPPES registry.
Note: You can proceed without accepting the information that the NPPES registry provides.
If the athenaOne System cannot validate the NPI number, you can still complete your workflow and try again later.
- Display the NPIs and Other Numbers page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Enrollment and Numbers, click NPIs and Other Numbers.
- Provider/group — Select a medical group from the list.
- Click add number for a provider number category.
Additional fields appear. - Category — Select NPI Number from the list.
- Number — Enter the group-level NPI.
- If this NPI applies to all departments and all providers in the medical group you selected, click Save & Close to complete the process.
If this NPI applies only to specific departments
- Departments — Click the Only applies to some Departments option.
- Select and deselect the departments that use this NPI.
Tip: You can enter a search string in the field at the top to filter the list. - Click Save & Close.
- Display the NPIs and Other Numbers page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Enrollment and Numbers, click NPIs and Other Numbers.
- Provider/group — Select a medical group.
- Click update next to the NPI number listed for the selected provider. Additional fields appear.
- Number — Enter the group-level NPI.
- Click Save & Close.
This feature allows a given provider or a group of providers to use a different billing NPI from their medical group. This usually happens when an individual is billing with the Type-1 NPI for most payers, or when a group of providers share a Type-2 NPI (such as when they are credentialed by specialty).
Important: Do not use this feature to set up a provider to bill with the SSN or to bill with a Type-1 NPI only for some payers.
- Display the NPIs and Other Numbers page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Enrollment and Numbers, click NPIs and Other Numbers.
- Provider/group — Select a medical group.
- Click add number for a provider number category.
Additional fields appear. - Category — Select NPI Number from the list.
- Number — Enter the group-level NPI.
- Providers — Click the Only applies to some Providers option. Select and deselect the providers that use this NPI.

- Display the NPIs and Other Numbers page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Enrollment and Numbers, click NPIs and Other Numbers.
- Provider/group — Select a provider.
- Click add number for a provider number category.
Additional fields appear. - Category — Select NPI Number from the list.
- Number — Enter the provider-level NPI.
- If this NPI applies to all departments and all providers in the medical group you selected, click Save & Close to complete the process.
- In the rare case that a provider-level NPI is department-specific, follow these steps:
- Departments — Click the Only applies to some Departments option.
- Select and deselect the departments that use this NPI.
Tip: You can enter a search string in the field at the top to filter the list. - Click Save & Close.
- Display the NPIs and Other Numbers page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Enrollment and Numbers, click NPIs and Other Numbers.
- Provider/group — Select a provider.
- Click update next to the NPI number listed for the provider selected.
Additional fields appear. - Number — Enter the provider-level NPI.
- Click Save & Close.
Your Nuance Organizational Token ID is included in the Welcome email packet from Nuance.
Note: After you enter the Nuance token ID for your medical group, you do not need to enter it for each individual provider record (as described in "To enter the Nuance token ID for individual providers").
- Display the NPIs and Other Numbers page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Enrollment and Numbers, click NPIs and Other Numbers.
- Provider/group — Select your provider group or medical group.
- Click add number for a provider number category.
Additional fields appear. - Category — Select Nuance Dragon Embedded Token.
- Number — Enter your Nuance Organizational Token ID.
- Click Save.
Note: Fields and tab options other than the Number field are not enabled. Effective date, expiration date, department, and providers are limited based on the information you enter on this page.
Note: If you already entered the Nuance Organizational Token ID for your medical group (see "To enter the Nuance token ID for all providers"), you do not need to use this procedure to enter the token ID for each individual provider record.
- Display the NPIs and Other Numbers page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Enrollment and Numbers, click NPIs and Other Numbers.
- Provider/group — Select the provider for whom you want to enable Nuance Dragon Medical Embedded.
- Click add number for a provider number category.
Additional fields appear. - Category — Select Nuance Dragon Embedded Token.
- Number — Enter your Nuance Organizational Token ID.
- Click Save.
You can record the account number assigned to your practice by the following national labs. The account number is also included in the practice's orders to the lab.

- Display the NPIs and Other Numbers page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Enrollment and Numbers, click NPIs and Other Numbers.
- Category — Select the desired lab's account number.
- Provider/group — Select the provider or group.
- Continue as you normally would administer NPIs and other billing and enrollment-related numbers.
A Drug Enforcement Administration (DEA) number is assigned to a prescriber by the United States Drug Enforcement Administration. The DEA number allows the prescriber to write prescriptions for controlled substances.
Surescripts, our partner for e-prescribing, ensures that all DEA numbers sent in any electronic prescriptions are in the proper format. This requirement applies to all electronically filed prescriptions, not only to prescriptions for controlled substances. Also, Surescripts validates DEA numbers for both the prescriber and the supervisor.
If a DEA number is not formatted correctly, the prescription drops to electronic fax. You can review stored DEA numbers for prescribers and supervisors on the NPIs and Other Numbers page.
Note: If a prescriber does not have a DEA number, leave the field blank on the NPIs and Other Numbers page. If text such as "None" or "N/A" appears in the DEA number field, delete the DEA number category for that prescriber.
Requirements for a valid DEA number
- The number must consist of 2 uppercase letters followed by 7 numbers (letters are case sensitive). athenahealth recommends that you capitalize the letters.
- If the number has more than 9 characters, the 10th character must be a dash followed by the additional numbers (for example, AA1234567-890).
Note: Surescripts does not validate the remaining characters after the dash.
