Recurrence Preview
This page allows you to view, update, and approve the specifics of a recurring appointment. The Recurrence Preview contains the following information:
- At the top, there is a short description of the recurrence pattern.
- Next, information is listed for each date that the appointment recurrence falls on, the "recurrence date."
- Each appointment has a checkbox that you can uncheck to omit the slot when you schedule the set of recurring appointments.
- The recurrence date appears in black for appointments that can be successfully scheduled as is. The date appears in red for appointments that need changes before they can be scheduled.
On the Quickview, click Schedule (under the Appointments heading). Select the appointment slot; select Recurrence type of Daily, Weekly, or Monthly, and then click Preview Recurrence. (The appointments appear in the Task Bar.)
On the Patient Actions Bar, click Scheduling, and then click Schedule Appointment. Select the appointment slot; select Recurrence Type of Daily, Weekly, or Monthly, and then click Preview Recurrence. (The appointments appear in the Task Bar.)
- Display the Schedule Appointment page: On the Patient Actions Bar, click Scheduling, and then click Schedule Appointment.
- Follow the usual procedure to schedule the first appointment in the series, and then select Daily, Weekly, or Monthly from the Recurrence Type menu. Additional fields appear that allow you to specify the recurrence pattern and dates.
- Indicate the frequency for the appointment using the options provided.
- Use the Recurrence End Date fields to indicate the end date for the recurring appointments.
- Click Preview Recurrence to review the result of your selections. The Recurrence Preview results appear in the Task Bar.
- Review the information in the Recurrence Preview results in the Task Bar.
- A short description of the recurrence pattern appears.
- For each appointment, the date, time, and appointment details appear, indicating the availability of slots on the specified date and time. The recurrence date appears in black for appointments that can be successfully scheduled as is. The recurrence date appears in red for appointments that need changes before they can be scheduled.
- If all the desired slots are available and no changes are needed, click Schedule Appointment(s) at the bottom of the Task Bar.
- To reschedule an appointment if the slot is available, click the change link, or to locate a slot for an appointment when the desired slot is not available, click find slot. The Schedule Appointment search fields appear in the Workspace, and the Recurrence Preview results remain visible in the Task Bar.
Finding alternative slots
- From the Schedule Appointment page, use the appointment search filters to locate an alternative time slot.
- Select the desired appointment slot as you normally would.
- From the Appointment Type(s) menu, select the appointment type for the new time slot, as you normally would.
- Click the button to Add Appointment To List. The new appointment selection is added to the list of recurring appointments in the Task Bar.
- Repeat Steps 9-12 for each recurring appointment that requires modification, until all the appointments that you want to schedule in the list have dates displayed in black.
Schedule the selected appointments
- In the Recurrence Preview page in the Task Bar, uncheck any appointments that you want to omit from the set of recurring appointments.
- Click the Schedule Appointments(s) button at the bottom of the Task Bar to schedule the list of recurring appointments. The Recurrence Preview window closes automatically and the Appointment Saved page appears in the Workspace, listing all the appointments that were scheduled successfully. Appointments with dates in red are not scheduled.
- You can print this page and give it to the patient as a reminder.
- The appointments are now scheduled. You can use the Authization menu to add a referral or authorization number for these appointments. If you do, click Save Information to save the update.
