Appointment Type Mapping
This page allows you to specify under what conditions other practices across your health system network and its affiliates can use direct scheduling to book appointments in your calendar.
On the Main Menu, click Settings > Coordinator. In the left menu, under Practice Links — Direct Scheduling, click Appointment Type Mapping
Your practice must use athenaCommunicator.
Before you configure appointment type mappings, make sure that all appointment reasons are available for the practice on the Patient Appointment Reasons Settings page.
- Display the Patient Appointment Reasons Settings page: On the Main Menu, click Settings > Coordinator. In the left menu, under Practice Links — Direct Scheduling, click Patient Appointment Reasons Settings.
- Check the list of configured appointment reasons for any missing entries required for appointment mappings.
- If you need to add a new appointment reason, click Add new.
- Reason — Select an appointment reason.
- Description — Do not edit the description. Although the description is not visible in the direct scheduling workflow, it appears in other workflows if you also use athenaCommunicator.
- Patients — Select All to make this reason available to both existing patients and new patients. Select New to make this reason available only to new patients registering and scheduling their first appointment, or select Existing to make this reason available only to existing patients who are already registered in the practice.
- Click Save or Save and Add Another to configure additional patient appointment reasons.
- Display the Appointment Type Mapping page: On the Main Menu, click Settings > Coordinator. In the left menu, under Practice Links — Direct Scheduling, click Appointment Type Mapping.
- Click Add Mapping.
- Department — Select the provider's department.
- Provider — Select the provider.
- Appointment Reason — Select the appointment reason.
- Appointment Type — Select the appointment type.
The appointment types are configured using the Appointment Types page. - Maximum Days Ahead — Enter the maximum number of days in advance that appointments can be scheduled.
- Minimum Days Ahead — Enter the minimum number of days in advance that appointments can be scheduled.
- Conditions — Set the criteria for when to apply the mapping.
- Patient's sex is — To apply a mapping to male or female patients only, select this option and then select Male or Female.
- Patient is older than — To apply a mapping only to patients older than a specific age, select this option and then enter an age.
- Patient is younger than — To apply a mapping only to patients younger than a specific age, select this option and then enter an age.
- New patient — To apply a mapping to new patients only, select this option.
- Click Save Mapping.
The new appointment type mapping appears in the Mappings for selection table with these links:
You can associate a radiology appointment type with a focus area using the Radiology test field on the Appointment Type Mapping page. Receiving providers can customize their calendar to offer radiology appointments by a focus area, such as a radiology test.
- Display the Appointment Type Mapping page: On the Main Menu, click Settings > Coordinator. In the left menu, under Practice Links — Direct Scheduling, click Appointment Type Mapping.
- Click Add Mapping.
- Department — Select the provider's department.
- Provider — Select the provider.
- Radiology test — Select one of the provider's radiology tests, that is, focus areas.
Note: You can create an appointment type mapping with a focus area only for radiology. You can create separate mappings for each provider's focus area for radiology. - Appointment Reason — Select the Imaging appointment reason.
Note: If you select Imaging as the appointment reason for your mapping, you can select a Radiology test to include in your mapping. - Appointment Type — Select the appointment type.
The appointment types are configured using the Appointment Types page. - Maximum Days Ahead — Enter the maximum number of days in advance that appointments can be scheduled.
- Minimum Days Ahead — Enter the minimum number of days in advance that appointments can be scheduled.
- Conditions — Set the criteria for when to apply the mapping.
- Patient's sex is — To apply a mapping to male or female patients only, select this option and then select Male or Female.
- Patient is older than — To apply a mapping only to patients older than a specific age, select this option and then enter an age.
- Patient is younger than — To apply a mapping only to patients younger than a specific age, select this option and then enter an age.
- New patient — To apply a mapping to new patients only, select this option.
- Click Save Mapping.
- Display the Appointment Type Mapping page: On the Main Menu, click Settings > Coordinator. In the left menu, under Practice Links — Direct Scheduling, click Appointment Type Mapping.
- Locate the appointment type mapping that you want to update in the Mappings for selection table and click edit.
- Update the fields as required.
- Click Save Mapping.
- To view the audit history for this mapping, click Audit history (below the Save Mapping and Cancel buttons).
- Display the Appointment Type Mapping page: On the Main Menu, click Settings > Coordinator. In the left menu, under Practice Links — Direct Scheduling, click Appointment Type Mapping.
- Locate the appointment type mapping that you want to delete in the Mappings for selection table and click delete.
The appointment type mapping is grayed out in the table, with an undelete link next to it. - If you want to restore the appointment type mapping, click undelete.
Before creating appointment type mappings for each receiving provider, make sure that:
- All receiving providers have configured specialties and focus areas.
- All needed appointment reasons are configured for the practice on the Patient Appointment Reasons Settings page.
You can set up criteria to determine when other practices across your health system network and its affiliates can use direct scheduling to book appointments in your calendar. Criteria can include:
- Participating receiving providers or departments
- Available appointment types
- Conditions for each appointment type
- Acceptable appointment reasons
- How far in advance appointments can be scheduled
- Patient gender
- Patient age
- Restrictions for new patients
Each receiving provider can define her own criteria; or, you can use the same set of criteria for your entire department and then make adjustments for each provider as necessary.
