Appointment Cancellation Reasons

This page allows you to create, view, update, delete, and restore appointment cancellation reasons used in your practice. Appointment cancellation reasons appear in the Reason for cancellation menu on the Check-in page.
On the Main Menu, click Settings > Schedule. In the left menu, under Practice Links — Scheduling, click Appointment Cancellation Reasons
- Display the Appointment Cancellation Reasons page: On the Main Menu, click Settings > Schedule. In the left menu, under Practice Links — Scheduling, click Appointment Cancellation Reasons.
- Click Add new.
- Name — Enter a descriptive name for the appointment cancellation reason.
- Make slot available — Specifies whether cancelling an appointment for this reason reopens the slot.
- Select Yes to reopen the slot if an appointment is cancelled for this reason.
- Select No to keep the slot closed if an appointment is cancelled for this reason.
- Patient no-show — Select this option if this reason indicates patient unavailability.
- Patient rescheduled — Select this option if this reason indicates that the patient rescheduled the appointment.
- Provider unavailable — Select this option if this reason indicates that the provider was unavailable for the appointment.
- None — Select this option if none of the reasons above (Patient no-show, Patient rescheduled, or Provider unavailable) apply to this cancellation reason.
This option is selected by default. - Ordering — Enter a number to indicate the order of this reason in the menu.
- Click Save. The new cancellation reason appears in the list below.
- Display the Appointment Cancellation Reasons page: On the Main Menu, click Settings > Schedule. In the left menu, under Practice Links — Scheduling, click Appointment Cancellation Reasons.
- Locate the appointment cancellation reason in the list.
- Click the edit
link.
Note: You can click Audit history to see all the changes made to this cancellation reason. - Edit fields as needed.
- Click Save. The updates are reflected in the list below.
- Display the Appointment Cancellation Reasons page: On the Main Menu, click Settings > Schedule. In the left menu, under Practice Links — Scheduling, click Appointment Cancellation Reasons.
- Locate the appointment cancellation reason in the list.
- Click the delete
link.
The reason is grayed out but still appears in the list with an undelete link.
- Display the Appointment Cancellation Reasons page: On the Main Menu, click Settings > Schedule. In the left menu, under Practice Links — Scheduling, click Appointment Cancellation Reasons.
- Locate the appointment
cancellation reason in the list.
Deleted reasons appear grayed out in the list. - Click the undelete
link.
The appointment cancellation reason is now available in the list.
Name |
The name of the appointment cancellation reason. Enter a descriptive name. |

Make slot available |
Indicates whether cancelling for this reason reopens the slot. If you select Yes, the appointment slot is reopened. If you select No, the slot remains closed. If the slot is reopened but the appointment itself was frozen, the newly created slot is also frozen. (A frozen appointment does not appear on the appointment template when you try to create a new appointment.) |
Patient no-show |
Select this option if the reason indicates patient unavailability. |
Patient rescheduled |
Select this option if the reason indicates that the patient rescheduled. |
Provider unavailable |
Select this option if the reason indicates provider unavailability. |
Ordering |
Enter a number to specify the order of this cancellation reason in the Reason for cancellation menu on the Check-in page. |
