Outgoing Correspondence
You can use this page to upload image files to use as letterheads for practice-wide and department-specific correspondence. The recommended dimensions for a letterhead image are 600 x 100 pixels. Please contact the CSC by selecting Support > Create Case or Call in the Main Menu for assistance with uploading, aligning, and configuring your practice's letterhead on letters or other clinical paper forms.
On the Main Menu, click Settings > Clinicals. In the left menu, under Practice Links — Forms and Letters, click Outgoing Correspondence
- Display the Outgoing Correspondence page: On the Main Menu, click Settings > Clinicals. In the left menu, under Practice Links — Forms and Letters, click Outgoing Correspondence.
- Under the Set Department Overrides heading, click update for the department that you want.
The department name appears next to the Department field at the top of the page. - Letterhead image — Click the option labeled Your department's current custom letterhead image and then click Choose File.
- Locate and select the image file for your letterhead.
The recommended dimensions for a letterhead image are 600 x 100 pixels. - Click Submit. The new letterhead will appear on all clinical documents printed by a user logged in to the corresponding department.

- Under the Set Department Overrides heading, click update for the department that you want.
The department name appears next to the Department field at the top of the page. - Header/Footer name — Click the Custom option, and enter the text for the desired header and footer.
- Click Submit. The new header/footer will appear on all clinical documents printed by a user logged in to the corresponding department.
Letters (and their attachments) automatically include a footer that contains the patient name, ID, and date of birth. This footer ensures that all outbound documents printed from athenaClinicals contain the required patient identifiers. The footer is not visible from the letter preview, but it appears automatically when the letter is printed or faxed from athenaClinicals.
- Display the Outgoing Correspondence page: On the Main Menu, click Settings > Clinicals. In the left menu, under Practice Links — Forms and Letters, click Outgoing Correspondence.
- Under the Set Default Letterhead heading, click update.
"Default for all departments" appears next to the Department field at the top of the page. - Letterhead image — Click the option labeled Your department's current custom letterhead image and then click Choose File.
- Locate and select the image file for your letterhead.
- Click Submit.
For practices that function as departments of larger organizations, creating custom, department-specific letterheads as well as practice-wide allows differentiation between the practice and the organization by changing the displayed name on clinical paper forms.
Authorized users can generate letters from the Letters encounter section. The functionality was developed with consult letters in mind, but you may want to use it for other letters, such as return to work forms, suspend gym membership letters, excused absences forms, and so on.
If no provider signature is on file, no signature appears on the printed letter, and the provider must either sign each paper letter by hand, or, in the Letter document view, select the Approve option after all changes to the letter are complete.

If a provider signature is on file, but changes to the letter are needed after it was generated, the task is reassigned to the provider for electronic signing.
If a provider signature is on file, but only administrative changes are made after the letter is generated, the administration staff can use the actions options at the bottom of the document task: select Submitted by and select the appropriate username from the menu.
