Collections Batch Management
athenaOne for Hospitals & Health Systems
This page should be used only to view and merge collection files for delivery to non-established agencies. Do not use this page to merge files for delivery to a Marketplace partner or to one of our established collection agencies. If athenahealth is responsible for submitting files to the collection agency, batches are merged automatically before submission and do not require additional merging after batch creation.

On the Main Menu, click Claims. Under SELF-PAY AND COLLECTIONS, click Collections Batch Management
- Display the Collections Batch Management page: On the Main Menu, click Claims. Under SELF-PAY AND COLLECTIONS, click Collections Batch Management.
- Provider group — For athenaEnterprise organizations, select the provider group where you would like to merge collection batch files, and then click Continue.
- Collection
agency — Select the collection agency from the menu.
The list of unsent collection batches created for this agency appears. - Select the batches that you want to merge into a single file.
- Click Merge
Checked Batches. The collection batch files you selected are merged into one new file.
The View/Edit Billing Batch page appears for the collection batch file that you just created. The Notes field indicates the individual collection batch files that were merged into this one file, along with the date of the merge. - To save the merged collection batch file on your computer, click the File link in the upper right-hand corner of the page.
- In the File Download window, save or open the file. You can save the files in .csv format for easier viewing.
- If you are submitting the collection batch file to an agency outside athenaOne, you can click the Mark batch as submitted link at the bottom of the page to verify that you successfully downloaded and submitted the collection file. Your username appears in the Submitted by field.
Important: Do not select the Mark batch as submitted option if you are using an established agency where athenahealth is responsible for submitting files (selecting this option will cause collection batches not to be delivered to the agency).

ID |
The system-generated ID number of the collection file. Click the link to display the View/Edit Billing Batch page for the file. |
Date Produced |
The date that the collection batch file was produced. |
Produced By |
The username of the person who produced the file. |
Collection Agency |
The collection agency for which this collection batch file was produced and to which the batch file will be submitted. |
# Patient Accounts |
The number of patient accounts in the collection batch file. |
Amount |
The total dollar amount of the charges being sent in the collection batch file. |
