Insurance Package Quickpicks
This page allows you to configure the insurance package quickpicks lists used with the Guided Patient Insurance Search. The two types of quickpicks lists are:
- Most Used Policies — An athenaOne-generated list
- Favorites List — A custom list that you create
On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Insurance Packages, click Insurance Package Quickpicks
You must have one of the following roles to access this page:
- Practice Superuser
- Practice Set-Up
- Management - Collector
- Superuser - Collector
Note: We recommend that you alert your staff and make changes when they are not actively using the search feature.
- Display the Insurance Package Quickpicks page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Insurance Packages, click Insurance Package Quickpicks.
- Provider group — Select the provider group (appears for provider-groups-based practices only).
Change the quickpicks list type to Favorites
- Update Quickpicks List Type — Click Custom List to select the Favorites list.
- Click OK.
Add packages to the list
- Click Add new.
- Insurance package ID — Enter the insurance package ID, or click lookup to search for it.
- Notes — Enter any notes about the insurance package. Notes appear in your quickpicks list next to the corresponding packages on the Add Policy page. Notes are visible only to your practice or provider group. (You cannot add notes to the Self-Pay package.)
- Click Save.

Add up to 15 packages as needed.
Note: athenaOne allows up to 15 insurance packages in the quickpicks list by default, but your practice can choose a different limit. For details, see Changing the number of quickpicks displayed.
- Display the Insurance Package Quickpicks page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Insurance Packages, click Insurance Package Quickpicks.
- Under Current Insurance Package Quickpicks List, find the package to add a note to and click edit.
The Update Insurance Package Quickpicks List area appears. - Notes — Enter a note about the insurance package. Notes you add appear in both the Most Used and favorites quickpick lists. (You cannot add notes to the Self-Pay package.)
- Click Save.
Note: A note on your Most Used Policies quickpicks list that you associate with a package remains tied to that package until you edit or delete the note. If the package no longer appears on your Most Used Policies quickpicks list, the note is not lost. If the package returns to your Most Used Policies quickpicks list, the note appears. However, if you remove a package from your Favorites List, any notes associated with the package are lost.
By default, athenaOne displays the Most Used Policies when you add patient insurance policies using the Guided Patient Insurance Search. To display your Favorites List instead, change the quickpicks list type for your practice or provider group. Self-Pay is the first option on both quickpicks lists. With the Guided Patient Insurance Search, you can:
- Add notes about each package on your quickpicks list (with the exception of the Self-Pay package)
- View separate lists for standard and case policies

Existing quickpick lists are not transferred when a practice is switched from the old search to the new Guided Patient Insurance Search. If you previously customized your Most Used list, your changes are not transferred to the quickpicks list when the new Guided Patient Insurance Search is enabled for your practice.
Instead, athenaOne generates the Most Used Policies list, based on your practice's most frequently selected insurance packages (i.e., the packages with the most patients registered).
Therefore, if you want to switch your provider group's quickpicks list to the Favorites List, you must reconfigure your quickpicks list.
After you configure your Favorites List for the Guided Patient Insurance Search, the packages you selected as quickpicks remain tied to your Favorites List until you delete or edit them. Therefore, if you configure your Favorites List and then switch your quickpicks list type to Most Used Policies, the items selected for your Favorites List are not lost. To view your configured Favorites List, click Custom List on the Insurance Package Quickpicks page. The same selections for your Favorites List appear under Current Insurance Package Quickpicks List.
If your practice is new to athenaOne, you may not have enough patient registration history for athenaOne to generate a list of Most Used packages. In this case, the Most Used Policies list is blank until athenaOne has enough information from patient registration to generate this list.
Medicare Part A does not appear in your Most Used list, and you cannot add it to your Custom List. To make sure that athenaOne submits charges correctly:
- Select Medicare as the patient's insurance during patient registration.
- athenaOne automatically determines which charges must be submitted to Part A.
In some cases, athenaOne alerts you that a particular workflow requires you to select Medicare Part A as the patient's insurance. In these cases, search for "Medicare" and then filter the results for "Part A" to add the policy.
"Institutional billing" refers to claims for equipment and supplies, laboratory services, radiology services, and other charges that are traditionally associated with facilities. These claims vary significantly from the claims for professional services that are typically submitted by physician-based practices. Insurance packages for institutional billing are usually named with the terms "Institutional" or "RHC/FQHC."
Organizations that bill for professional services only
If your practice is not configured for institutional billing, institutional packages do not appear in your Most Used list, and you cannot add them to your Custom List.
Organizations that bill for facility charges
If your practice is part of a facility — such as an ambulatory surgery center, rural health center, or federally qualified health center — institutional packages appear in your Most Used list, and you can add them to your Custom List.
You must have UB-04 (UB‑92) billing enabled to see and add institutional packages to your quickpicks list. If you cannot see or add institutional and RHC/FQHC packages to your quickpicks list, please contact the CSC by selecting Support > Create Case or Call in the Main Menu to open a case and verify that your practice settings are correct.
athenaOne allows up to 15 insurance packages in the quickpicks list by default, but your practice can choose a different limit, using the Practice Setting: Maximum Length of Insurance Package Most Used List. This limit applies to both the Most Used and Favorites List.
