Local Roles
athenaOne for Hospitals & Health Systems
This page allows you to customize athenaOne global roles to fit your practice's specific user access requirements.
Note: If your practice does not currently use local role functionality, athenahealth strongly recommends that you discuss the risks with your athenahealth Customer Success Manager before you make any changes.
On the Main Menu, click Settings > User. In the left menu, under Practice Links — Users, click Local Roles
To access this page, you must have the User Admin role.
- Display the Local Roles page: On the Main
Menu, click Settings > User. In the left menu, under Practice Links — Users, click Local Roles.
A table of existing local roles appears or, if you haven't created any local roles, an Add new link and the message "No Items Found" appears. - Click Add new.
The Add Local Role view appears. - Role name — Enter a name for the role.
- Description — Enter a short description for the role.
- Copy from — Select an athenaOne global role. This global role serves as the base for your new local role.
Note: When you create a new local role, you must initially base it on an athenaOne global role. - Click Add Permissions.
The permissions contained in the global role appear. - Permissions — To add or remove individual permissions for your new local role, select or deselect permissions on the left side of the list. You can enter text in the field on top to filter the list of available permissions.
Note: You can hover the cursor over a permission to view its description and the roles that currently include the permission. - To add permissions from other global roles to this local role, select additional global roles from the Copy from menu.
- Grantable by — Select an option from the list. To maintain the exclusivity of granting a specific local role, select Master User Admin.
- Click Save.
Note: When you create a local role in one practice, it is available in all practices to which you have access.
The new local role appears in the list of existing roles, with your practice ID appended to the name of the new local role. The column # Users Assigned shows the number of users who have been assigned the local role.
Note: You can delete a local role only if no users have that local role assigned to them.
- Display the Local Roles page: On the Main Menu, click Settings > User. In the left menu, under Practice Links — Users, click Local Roles.
- Click the copy link next to the local role that you want to copy.
The Copy Local Role view appears. - Role name — Enter a name for the local role.
- Description — Enter a short description for the local role.
- Copy from — You can choose an athenaOne local role and then click Add Permissions.
- Permissions — To add or remove individual permissions, select or deselect them on the left side of the table. Enter text in the field on top to filter the list of available permissions.
- Click Save.
The new local role appears in the Existing Local Roles table below.
- Display the Local Roles page: On the Main Menu, click Settings > User. In the left menu, under Practice Links — Users, click Local Roles.
- Click the edit link next to the role that you want to update.
- Make the desired changes to the local role.
- Click Save.
The changes automatically apply to all users who have that role.
You can delete a local role only if no users have that role assigned to them. To delete a local role, you must first remove the local role from all users to whom it was assigned.
- Display the Local Roles page: On the Main Menu, click Settings > User. In the left menu, under Practice Links — Users, click Local Roles.
- Click the delete link next to the role that you want to delete.
Note: The delete link appears only when the local role has no users that use it (you see a 0 in the # Users Assigned column). - To restore the role, click undelete.
- Display the Users page: On the Main Menu, click Settings > User. In the left menu, under Practice Links — Users, click Users.
- Enter search criteria to find the user.
- Click Search.
A list of usernames that match your search criteria appears below. - Click the update link for the user account that you want to update.
The user profile details appear in the fields at the top of the page. - Click the Roles tab.
- Click the Edit link.
- Select the appropriate roles.
Note: You can assign a local role to a user account just as you would any other role (see Local Roles). - Click Save.
You can view the audit history for any local role.
- Display the Local Roles page: On the Main Menu, click Settings > User. In the left menu, under Practice Links — Users, click Local Roles.
- Click the edit link next to the local role for which you want to view the audit history.
- Click the Audit history link.
The audit history appears. - To close the audit history, click the X at the upper right.
User access to athenaOne is governed by permissions and roles:
- A permission controls access to a specific athenaOne resource (to view or edit an athenaOne page, or to perform a task within that page).
- A role is a set of permissions (for example, "Receptionist") that can be assigned to a user.
athenaOne provides a large number of predefined "global" roles and permissions that you can use to grant athenaOne access to users in your practice. But you can also use the Local Roles page to create local roles with customized sets of permissions tailored for your practice. To grant athenaOne access to users in your practice, you can select athenaOne "global" roles or any local roles created for your practice.
Note: If your organization is configured as a reporting network, you can assign local roles to users in specific practices or in all practices. For more information, see Reporting Networks.
