Patient Chart Admin
This page allows you to manage individual charts. You can:
- Create, update, and delete requests for chart pulls for non-appointment reasons such as prescription refills, referrals, and so forth. (Chart pull requests are automatically created for all appointments scheduled in athenaOne)
- Add a chart tracking note to describe when a chart's location has changed. This allows you to track when a chart has been marked missing, when it has been returned to the chart room, or when it has been transferred to another department.
- View chart tracking notes. You can use tracking notes to research where a chart has been (useful if a chart is missing) and who has requested the chart in the past (useful for patient privacy).
Note: You can generate a list of all charts to be pulled using the Manage Chart Pulls page.


- Display the Patient Chart Admin page: On the Patient Actions Bar, click Other, and then click Patient Chart Admin.
- Date Needed — Enter or select the date that the chart is needed.
- Time Needed — Enter or select the time that the chart is needed.
- Recipient — Enter the name of the person who should receive the chart, or select the provider who should receive the chart from the Provider list.
- Receiving Department — Select the department where the chart is to be sent.
- Enter any notes that should appear on the chart's out-guide.
- Click Save Request. The request appears under the Chart Tracking Notes heading, with REQUEST listed under the Action column.

- Display the Patient Chart Admin page: On the Patient Actions Bar, click Other, and then click Patient Chart Admin.
- Locate the request that you want to update in the Chart Tracking Notes list.
- Click the update link. The request appears in the Task Bar.
- Update the available fields as needed.
- Click Update. The updated request appears in the list under the Chart Tracking Notes heading.

- Display the Patient Chart Admin page: On the Patient Actions Bar, click Other, and then click Patient Chart Admin.
- Locate the request you want to delete in the Chart Tracking Notes list.
- Click the update link. The request appears in the Task Bar.
- Click Delete Request. The request is deleted from the list of requests under the Chart Tracking Notes heading.
Caution: There is no warning message or undelete option.

- Display the Patient Chart Admin page: On the Patient Actions Bar, click Other, and then click Patient Chart Admin.
- Locate the request that you want to mark in the Chart Tracking Notes list.
- Click the update link. The request appears in the Task Bar.
- Click Mark Chart Missing. A new tracking note appears in the list under the Chart Tracking Notes heading, with MISSING listed under the Action column.

- Display the Patient Chart Admin page: On the Patient Actions Bar, click Other, and then click Patient Chart Admin.
- Action — Select the action.
- Current Chart Location — Select the chart's current location (or select "Missing").
- Notes — Enter the text of the note. The note appears under the Chart Tracking Notes heading, with the selected action listed under the Action column.
