Manage Chart Pulls
This page allows you to manage incoming chart pull requests so that you can create the needed accompanying paperwork. You can generate a list of chart requests, chart pulls, and missing charts by choosing the desired report type and filters.
After the list is generated, you can create and print guides for charts, mark charts as pulled, and mark charts returned.
Chart pull requests are created and cancelled in two ways:
- Manually — Using the Patient Chart Admin page (the link is available from the Patient Actions Bar)
- Automatically — When the patient is scheduled for an appointment, a request is created; when an appointment is cancelled, the chart pull request is cancelled
On the Main Menu, click Patients. Under CHART MANAGEMENT, click Chart Pulls
This page is accessible if your practice has the Chart Pull Management practice setting enabled. Please contact the CSC by selecting Support > Create Case or Call in the Main Menu if your practice would like to enable this feature.
- Display the Manage Chart Pulls page: On the Main Menu, click Patients. Under CHART MANAGEMENT, click Chart Pulls.
- Report Type — Select "Requested Charts."
- Pull Date Start/End — Enter or select the start and end dates for the list, or leave blank to include charts for all dates.
- Chart Home — Select the chart home department, or select Any to include all departments in the list.
- Destination Department — Select a destination department for the charts, or select Any to include all departments in the list.
- Scheduled Provider — Select one or more scheduled providers, or select Any to include charts for all providers in the list. You can also use the Shift key to select (contiguous) providers on the list, or the Ctrl key to select multiple providers.
- Chart Pull Reason — Select the reason for the chart pull, or select Any to include charts to be pulled for any reason.
- Enter a list of patient ID numbers, separated by commas, to include only those patients' charts in the chart pull list.
- Show Patient SSN? — Select this option to display the patient Social Security number as a column in the results.
- Order by — Select a field for sorting the list.
- Click Run Report to display the results in the Workspace. The list of requested chart pulls appears below, under the Requested Charts heading. The bottom of the list displays the number of charts on the list. You can also click Download As CSV to download the report to an Excel spreadsheet.
- Additional buttons appear at the bottom of the list: you can use them to create (and print) guides for the selected charts, and mark the selected charts as pulled.

- Enter or select the start and end dates for the list in the Pull Date Start/End fields, or leave blank to include charts for all dates.
- Select the chart home department from the Chart Home menu, or select Any to include charts from all departments in the list.
- Destination Department — Select a destination department for the chart, or select Any to include charts for all departments in the list.
- Scheduled Provider — Select one or more scheduled providers, or select Any to include charts for all providers in the list. You can also use the Shift key to select (contiguous) providers on the list, or the Ctrl key to select multiple providers.

- List of Patient IDs (comma-delimited) — Enter a list of patient ID numbers, separated by commas, to include only those patients' charts in the requested chart list.
- Show Patient SSN? — Select this option to display the patient Social Security number as a column in the results.
- Order by — Select a field for sorting the list.
- Click Run Report. The list of requested charts appears below. You can also click Download As CSV to download the report to an Excel spreadsheet.
- All? — (at the far left) Check for each row you want to process, or click the All? column header to check all the checkboxes in each row.
- Click Create Guides for Checked Charts (at the bottom of the list). The Print Chart Guides view appears, showing the chart guides you selected at the bottom of the page.
- You can click Print Guides to print the guides, then click Continue to return to the Manage Chart Pulls page.
Report Type |
Three types of chart reports can be run. The "Requested Charts" report generates a list of all requests for chart pulls. The "Pulled Charts" report generates a list of all charts that have been pulled. The "Missing Charts" report generates a list of all charts that are marked missing. |

Only lists charts that need to be pulled (if running a "Requested Charts" report) or that were pulled (if running a "Pulled Charts" report) within the specified date range. |
Chart Home |
Only lists charts that are normally kept at this department. |
Destination Department |
Only lists charts that need to be sent to this department (if running a "Requested Charts" report), or that were sent to this department (if running a "Pulled Charts" report). |
Scheduled Provider |
Only lists charts that need to be sent to this provider (if running a "Requested Charts" report), or that were sent to this provider (if running a "Pulled Charts" report). |
Chart Pull Reason |
Filters the list by the reason the chart was requested. Charts needed for appointments automatically have chart requests created for them. Users can also request charts for non-appointment reasons (e.g., prescription refills, referrals, etc) using the Patient Chart Admin page. |
