Practice Statement Note
This page allows you to create custom messages that are printed for all patients on a statement run for your practice. You can use practice statement notes as a broad-based communication tool. For example, you can create a practice note to notify patients that a new doctor has joined the practice, when the flu clinic is scheduled for the upcoming year, and so forth.
Note: The simplified patient statements used with the Online Statement-based Experience (formerly QuickPay Portal) do not display custom statement notes. For information about simplified and standard patient statements, see Patient Statement Samples.
On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Statement Admin, click Practice Statement Note
Note: The simplified patient statements used with the Online Statement-based Experience (formerly QuickPay Portal) do not display custom statement notes. For information about simplified and standard patient statements, see Patient Statement Samples.
- Display the Practice Statement Note page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Statement Admin, click Practice Statement Note.
- To see examples of effective practice statement notes, click View examples (above the Add new link).
You can use the examples as a template to create a practice statement note that works best for your patients. - Click Add new.
The Add Practice Statement Notes view appears. - Name — Enter a name for the practice statement note as it should appear on this page. It can have a maximum of 40 characters.
- Message — Enter the text of the practice statement note. This message is printed at the bottom of the patient statement. The character limit is 450 characters. A character count is visible so you can see whether the note is too long before you attempt to save it.
- Effective date — Enter or select an effective date for the practice statement note. The practice statement note will be printed on statements generated on this date or later.
Note: Only one practice statement note is printed on patient statements. Therefore, practice statement notes cannot have overlapping dates. - Expiration date — Enter or select an expiration date for the practice statement note. The practice note will no longer be printed on patient statements generated on this date or later.
Note: It takes 35 days to generate a complete run of statements (4 weeks), so you should select a 35-day range if you want to ensure that all patients with a balance receive the statement note on their statement.
- Filter type — Select the filter type for the practice statement note. Practice-wide applies the note to all patients. Selecting Provider group, Medical group, Primary department, or Usual provider lets you narrow the audience.
- Click Save.
The practice statement note appears in the list of existing practice statement notes.
- Display the Practice Statement Note page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Statement Admin, click Practice Statement Note.
- Click edit next to the statement note that you want to edit.
- Edit the fields as needed.
- Click Save. The updated practice statement note appears in the list of practice statement notes.
- Display the Practice Statement Note page: On the Main Menu, click Settings > Billing. In the left menu, under Practice Links — Statement Admin, click Practice Statement Note.
- Click delete
next to the practice statement note that you want to delete.
The practice statement note is deleted. - To restore a deleted practice statement note, click Show deleted at the top of the list to display the deleted note, and then click the undelete link to restore it.

Provider Groups |
Provider groups where the practice statement note applies. If two overlapping practice statement notes exist, the provider group specification takes precedence. For example, if a practice statement note applies to medical group A and another note applies to provider group B, which exists within medical group A, the practice statement note for provider group B takes precedence and is printed on the patient statement. |
