Printers
This page allows you to manage your printer alignment settings for printing paper claims. This feature applies only to printing a paper claim at your practice; it is unrelated to normal athenahealth claim submission practices.
Let athenahealth print paper documents — such as claims and appeals — for you! If you have any questions about how we handle your claims and appeals, please create a case (by selecting Support > Create Case or Call in the Main Menu) before you print claims. Best practice: athenahealth recommends that you not print athenaOne claims or appeals outside athenaOne. If the claim or appeal is billed outside athenaOne, athenahealth cannot provide the claim submission and resolution services that you contracted for; for example, we cannot attach payer acknowledgments, USPS One Code confirmations, or follow-up claim alarms to the claim. |
On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Printers
Printing open claims vs. closed claims:
- If a claim is in an OPEN status (with open balances), you must print the claim directly on a CMS-1500 form.
- If a claim is in a CLOSED status, you should print the claim on plain paper because the claim image itself already includes the form boxes.
- Display the Printers page: On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Printers.
- Name — Enter a name for the printer.
Note: To update an existing printer, click update next to the printer name. - Department — For a new printer, select the department that uses the printer.
- PDF X Shift — This setting controls the horizontal placement of the image on paper, moving the image left and right. Enter a number in points. Zero is a good starting point. Enter 72 to shift the image one inch to the right. Enter -72 to shift the image one inch to the left.
- PDF Y Shift — This setting controls the vertical placement of the image on paper, moving the image up and down. Enter a number in points. Zero is a good starting point. Enter 72 to shift the image one inch downward. Enter -72 to shift the image one inch upward.
- PDF X Scale — Enter a number from 1 to 100 to indicate the percentage of the width of the image to print. For example, enter 100 to print the image actual size.
- PDF Y Scale — Enter a number from 1 to 100 to indicate the percentage of the height of the image to print. For example, enter 100 to print the image actual size.
Note: If you are updating a printer, don't change the existing settings for the X Shift, Y Shift, X Scale, and Y Scale fields. If you are adding a new printer, leave the fields blank. - Claim Format — Select the claim format.
- Click Generate Test PDF.
A test PDF image opens in a new window. - Print a test page to any local printers to which you want to print.
Note: Make sure that your printer has CMS-1500 forms before printing. - Check the alignment and scaling of the printed image.
- Make changes to the printer settings by repeating these steps as necessary. Align the top left character with the top left field of the form (for example, CMS‑1500) using the PDF X and PDF Y shift values, and align the bottom right character with the bottom right field of the form using the PDF X and PDF Y scale values.
- When the appropriate alignment settings are obtained, click Save.
If the claim has an open balance, it will not print the CMS-1500 lines. To print an open claim on a CMS-1500 form, you can purchase blank CMS-1500 forms from an office supply company. If the claim is closed, it will print with the red CMS-1500 form lines. You can adjust your printer settings to print in black and white.
Note: The PDF Claim Printing feature must be enabled for your practice.
- Display the Claim Action page for a claim in HOLD status.
- Actions — Select Add Kick Reason from the menu.
- Kick reason — Enter "printonly" (or "PRINTONLY") and click outside the box.
The message "Print claim informational only; no status change" appears next to the Kick reason field. - Click Submit.
The claim appears below the View Attachments/EOBs button. - Format — You can select a different format from the menu and click Go.
- You can use the menu next to the Realign Claim button to select a different printer setting and then click Realign Claim.
- Click the Print icon .
A print version of the claim appears in a new window.
Note: To save the claim as a PDF document, click the Save icon. - Select the printer and then click Print.
Note: The PDF Claim Printing feature must be enabled for your practice.
- Display the Generate Claims page: On the Main Menu, click Claims. Under CLAIM MANAGEMENT, click Generate Claims.
- Generate a billing batch.
- Scroll down to the table at the bottom of the page.
- Claim Submission Category — Select a category.
- Claim Format — Select CMS1500.
An additional field appears. - Claim Format Version — Select 02/12.
- Click Generate Claim File.
After scrubbing, the Scrub Results appear in the Task Bar. - Click Generate Claim File.
The View/Edit Billing Batch page appears. - Click Print to Local Printer.
- You can select alignment settings from the menu and then click Realign Claim.
- Click the Print icon in the inset window.
A print version of the file appears in a new window. - Select the printer that you loaded with the appropriate preprinted forms and then click Print.
To print multiple claim formats (for example, CMS-1500 and CMS-1450) using the same printer, it may be necessary to create more than one printer installation for a single printer.
You should print a test page for each paper claim form that you use. If a test form is not aligned correctly, you can repeat the printer setup using a new name for the printer. In reality, the new "printer" is only a group of settings that should be used when printing a particular form.
