User Guide — Managing Paper Charts
If your practice has not implemented the athenaClinicals solution, athenaOne provides several tools for managing your paper charts.
If your practice has the athenaClinicals feature enabled, you do not need to manage paper charts. athenaOne provides a fully integrated EMR with document management services, including digitizing X-rays, lab results, prescriptions, and other clinical documents by automated fax routing, image-scanning, classification, and electronic data capture. athenaClinicals provides a paperless workflow for both providers and administrators that replaces manual tasks associated with paper chart administration, paper prescriptions, and other medical documents previously in paper form.
If your practice has not implemented the athenaClinicals solution, athenaOne provides several tools for managing your paper charts.
You can use the Patient Chart Admin page to:
- Create, update, and delete requests for chart pulls for non-appointment reasons such as prescription refills, referrals, and so forth. (Chart pull requests are automatically created for all appointments scheduled in athenaOne.)
- Add a chart tracking note to describe when a chart's location has changed. This note allows you to track when a chart has been marked missing, when it has been returned to the chart room, or when it has been transferred to another department.
- View chart tracking notes. You can use tracking notes to research where a chart has been (useful if a chart is missing) and who has requested the chart in the past (useful for patient privacy).
You can use the Manage Chart Pulls page to manage incoming chart pull requests so that you can create the needed accompanying paperwork. You can generate a list of chart requests, chart pulls, and missing charts by choosing the desired report type and filters. After the list is generated, you can create and print guides for charts, mark charts as pulled, and mark charts returned.
You can use the View Chart Checks page to view and delete chart checks. By default, it shows all outstanding chart checks for the login department, ordered by date in ascending order.
