Charge Master
athenaOne for Hospitals & Health Systems
You can use the Charge Master to administer all the non-pharmaceutical charge codes information used by your organization. athenaOne uses the charge master information to populate charge code-related fields when you enter charges for visit billing.
Note: Charge codes for pharmaceuticals are administered using the Formulary Management page.

On the Main
Menu, click Settings > Billing. In the left menu, under Practice Links — Charge Master, click Charge Master

You must be logged in to a department that uses athenaOne for Hospitals & Health Systems
You must have the Charge Master Admin role or permission to access this page.
To update the Charge Master file, you must have the Billing Admin role.

In the Charge Master, a charge can be designated as "hard-coded" (a one-to-one relationship exists between a charge and a procedure) or "soft-coded" (a one-to-many relationship exists between a charge and a procedure). The most common example is an outpatient surgery, where there is a single charge for the OR time, and a coder can then manually add procedure codes to associate to that charge in the Dynamic Medical Codes section of the Medical Codes tab of the Visit - Billing page.


- Display the Charge Master page: On the Main
Menu, click Settings
> Billing. In the left menu, under Practice Links — Charge Master, click Charge Master.
- Click the search icon
in the Revenue codes or HCPCS codes field.
Tip: For Revenue codes, you can enter a low and high range to narrow your search before you click the search icon.
The lookup window appears. - Enter a code or description.
- Click Find, and then select the code you need.

- Display the Charge Master page: On the Main
Menu, click Settings
> Billing. In the left menu, under Practice Links — Charge Master, click Charge Master.
- Next to the Charge Codes heading, click Add charge code.
Additional fields appear. - Charge code — Enter the code to add.
- Department — Select the department that will use the new code.
- Effective date — Enter the effective date for the new code.
- Expiration date — Enter the expiration date for the new code.
- Description — Enter a description for the new code.
- Invoice label — Enter an invoice label for the new code.
- Price — Enter a price for the new code (with the Fixed price option selected), or leave the price blank and select the Set at charge entry option.
- Revenue code — Enter the revenue code for this charge.
- HCPCS code — Enter the HCPCS code for this charge, or select the HCPCS entered at coding option.
- HCPCS multiplier — Enter the number of units for this charge item.
- Fractional billing — Select this option to allow fractional billing for this item.
- Click Save.

- Display the Charge Master page: On the Main
Menu, click Settings
> Billing. In the left menu, under Practice Links — Charge Master, click Charge Master.
- To add a new charge code, click Add charge code. Additional fields appear.
- Price — Select Cost based from the menu (if you are adding a pending charge, Cost based is selected automatically in the Price field).
Additional fields appear. - Default cost — Enter the cost to purchase the item.
- Multiplier — Enter the value that the cost will be multiplied by to calculate the price.
Note: This field is required. - Minimum price — Enter the minimum value of the price, regardless of the result of the calculation (cost x multiplier).
- Click Save.

- Display the Charge Master page: On the Main
Menu, click Settings
> Billing. In the left menu, under Practice Links — Charge Master, click Charge Master.
- Click Download charge master.
The charge master spreadsheet is downloaded. - Edit the charge master spreadsheet as necessary.
The Price field can be in .dd format. athenaOne accepts values of 0.
Set Fractional Billing to Y for all charges with HCPCS codes that begin with J (for example, J0120, J2364, J4444). If fractional billing is not set to Y, then the import process changes all N or null to Y for HCPCS codes that begin with J. - Contact your Customer Success Manager and send them your updated charge master spreadsheet for athenahealth to import.

Fixed price option — Enter a price for the new code. Set at charge entry — Leave the price field blank. Cost based — Additional fields appear. Complete required fields for this option. |

Enter the value that the cost will be multiplied by to calculate the price. Note: This field is required. |

Price | Select this option to allow the user to set a price at charge entry time. |
Revenue code | Enter the revenue code for this charge. |
HCPCS code | Enter the HCPCS code for this charge, or select the HCPCS entered at coding option. |
HCPCS entered at coding | Select this option to allow the user to enter the HCPCS code at coding time. |
Fractional billing |
Check Allow billing for fractions of this charge item to allow fractional billing for this item. |
Minimum price | If the Allow billing for fractions of this charge item option is selected, enter the minimum fraction for billing. |
