Clinical Document Report

The Clinical Document Report allows you to identify documents or document notes, based on common characteristics.

 

Display the Report Library: On the Main Menu, click Reports. Under General, click Report Library. Click the Clinicals tab. In the Standard Reports section of the tab, click run next to Clinical Document Report.

 

 

 

To access reports on the Clinicals tab of the Report Library, you must have the Clinicals user permission and the Report: Report Library: Clinicals permission. The Report: Report Library: Clinicals permission is included in the following roles:

  • Practice Superuser role
  • Report Reader role

Note: To activate the Clinical Document Report, use the Activate Reports page.

 

 

 

  1. Display the Report Library: On the Main Menu, click Reports. Under General, click Report Library.
  2. Click the Clinicals tab.
  3. Click run next to Clinical Document Report in the Standard Reports section of the tab.
    The Run Report: Clinical Document Report page appears.
  4. Date Filters — You must specify at least one date range.

  5. Document Filters — Specify the common data points that identify the documents of interest.

    Most filter options are set to return all values by default, but you can:

    • Click Null to return only documents where the corresponding value is null.
    • Click Selected and specify a value.

    To use filters to return documents in Clinical Inbox categories:

    • In the Document Class filter, select the following options to show documents that align with the corresponding Clinical Inbox category:

    • In the Document Status filter, select FOLLOWUP to show documents in the Need Followup category of the Clinical Inbox.

  6. Additional Options — Select the following for your report results:

    • Optional Report Output Columns
      Note: Selecting Document Action multiplies the report output because there are many-to-one document actions per document.

    • Report Format
    • Report Options

      (See the Field Reference table below for details.)
  7. Click Run Report.
    In the report results, you can click any column heading to sort the table by that column.

 

Run Report: Clinical Document Report
 Date Filters
Document Created Date

Enter the desired document created date range for which you would like to return documents from. Leave this field blank if you want to return documents from all created dates.
Document Deleted Date

Enter the desired document deleted date range for which you would like to return documents from. Leave this field blank if you want to return documents from all deleted dates.
Document Last Modified Date Enter the desired document Last Modified date range for which you would like to return documents from. Leave this field blank if you want to return documents from all Last Modified dates.
Document Action Created Date

Enter the desired Document Action Created Date range for which you would like to return documents from. Leave this field blank if you want to return documents from all Document Action Created dates.
Approved Timestamp

Enter the desired document Approved Timestamp range for which you would like to return documents from. Leave this field blank if you want to return documents from all Approved Timestamps.
Clinical Encounter Date

Enter the desired Clinical Encounter Date range for which you would like to return documents from. Leave this field blank if you want to return documents from all Clinical Encounter Dates.
Order Timestamp

Enter the desired Order Timestamp date range for which you would like to return documents from. Leave this field blank if you want to return documents from all created dates.
Last Submitted Timestamp Enter the desired Last Submitted Timestamp date range for which you would like to return documents from. Leave this field blank if you want to return documents from all Last Submitted Timestamps.
Future Submit Date Enter the desired Future Submit Date range for which you would like to return documents from. Leave this field blank if you want to return documents from all Future Submit Dates.
Document Filters
Document Created By User or entity that created the document.
Document Department Department associated with the document.
Provider Username Provider associated with the document.
Document Status

Current status of the document.

Select FOLLOWUP to show documents in the Need Followup category of the Clinical Inbox.
Document Deleted By Deleted by user or entity, associated with the document.
Document Last Modified By User who last modified the document.
Document Action Created By User who created any of the document’s actions.
Document Action Reason ID Reason associated with an action taken on a document.
Document Action Note Note field associated with a document action.
Document Action Status Status associated with a document action.
Document Class

The Document Class associated with the document.

 

Select the following options to show documents that align with the corresponding Clinical Inbox category:

Document Subclass The Subclass associated with the document.
Document Approved By Document approved user/entity.
Current Assignee Current user the document is assigned to.
In Unconfigured Bucket YN Documents considered assigned to an Unconfigured User. These documents would be found in the Unconfigured User section of the Clinical Inbox.
Clinical Order Type Order Type of the corresponding document.
Clinical Provider Order Type Document Order Type specific to the Clinical Provider being ordered from.
From FAX Number Fax number the document was sent from.
Document Last Submitted By User who last submitted the document.
Clinical Provider Clinical Provider associated with the document (either the ID or name of the provider).
Patient ID The Patient ID associated with the document.
Additional Options
Optional Report Output Columns Select additional data points you want to see in your report output.
Report Format

Select the format for your report results.

  • HTML table — Display the report results on your screen.
  • Text (tab-delimited) — Export the report results to a .csv file in tab-delimited format.
  • Text (comma-delimited) — Export the report results to a .csv file in comma-delimited format.
Report Options

Select other options for your report results.

  • Suppress Column Headings — Select this option to remove column headings from the report results.
  • Suppress Report Name — Select this option to remove the report name from the report results.
  • Show Filter Criteria — Select this option to include your selected filter criteria in the report results.
  • Run Offline (will appear in your Report Inbox tomorrow morning) — Select this option for very long reports. Reports that are run offline appear in your Report Inbox the morning after the request.
Column Headings
Document ID A unique number used to identify a document.
Document Created Date

The date when the document was created.
Current Status

The current value for the documents’ status.
Current Assigned To

The current value for the documents’ Assigned To user.
Current Department

The current value for the documents’ Department.
