Closed Encounters Report
The Closed Encounters report allows you to review your closed encounters. Using this report, you can identify the time frame in which encounters are closed, who closes the encounters, and how often closed encounters are amended.
Display the Report Library: On the Main Menu, click Reports. Under General, click Report Library. Click the Clinicals tab. In the Standard Reports section of the tab, click run next to Closed Encounters Report.
To access reports on the Clinicals tab of the Report Library, you must have the Report: Report Library: Clinicals permission. This permission is included in the following roles:
- Practice Superuser role
- Report Reader role
Note: To activate the Closed Encounters report, use the Activate Reports page.
- Display the Report Library: On the Main Menu, click Reports. Under General, click Report Library.
- Click the Clinicals tab.
- Click run next to Closed Encounters Report in the Standard Reports section of the tab.
The Run Report: Closed Encounters Report page appears. - Closed Date — Enter the start and end dates for the closed encounters that you want to include in the report, or select a date range from the menu.
Note: To include all closed encounters in the report, select the Show All option. - Encounter Department — To display closed encounters for specific departments only, click Selected and then select the departments from the list.
- Provider Name — To display closed encounters for specific providers only, click Selected and then select the providers from the list.
- Include Amended Encounter Data — Select this option to show encounters that were amended.
- Report Format — Select the format for your report results.
- HTML table — Display the report results on your screen.
- Text (tab-delimited) — Export the report results to a .csv file in tab-delimited format.
- Text (comma-delimited) — Export the report results to a .csv file in comma-delimited format.
- Report Options — Select report options.
- Suppress Column Headings — Select this option to remove column headings from the report results.
- Suppress Report Name — Select this option to remove the report name from the report results.
- Show Filter Criteria — Select this option to include your selected filter criteria in the report results.
- Run Offline (will appear in your Reports Inbox tomorrow morning) — Select this option for very long reports. Reports that are run offline appear in your Report Inbox the morning after the request.
- Click Run Report.

Closed Date |

Column Headings | |
Encounter ID | ID number of the encounter. |
Encounter Created Date | Date that the encounter was created. |
Encounter Closed Date | Date that the encounter was most recently closed. |
Encounter Closed By (username) | User who most recently closed the encounter. |
Encounter Closed Type |
Indicates whether the encounter was closed by a practice user or an encounter document. Note: See Document Classification Overview for more information about encounter documents. |
Patient ID | Patient ID number associated with the encounter. |
Provider ID | Provider ID number associated with the encounter. |
Provider Name | Name of the provider associated with the encounter. |
Encounter Department | Name of the department in which the encounter occurred. |
Amendment Y/N | Indicates whether the encounter was amended (Yes or No). |
Encounter Previously Closed Date | Date that the encounter was initially closed. A date appears in this column only if the encounter was amended. |
Encounter Previously Closed By | User who initially closed the encounter. A username appears in this column only if the encounter was amended. |
