Prepayment Plan Tracking Report
You can use the Prepayment Plan Tracking report to identify payment trends in prepayment plans. The Prepayment Plan Tracking report shows you which patients have prepayment plans, how much is being paid in advance of the patient visit, how much of the plan is covered by insurance, and more.

Display the Report Library: On the Main Menu, click Reports. Under General, click Report Library. Click the Billing Operations tab. In the Standard Reports section of the tab, click run next to Prepayment Plan Tracking Report.

To access reports on the Billing Operations tab of the Report Library, you must have the Report: Report Library: Billing Operations permission. This permission is included in the following roles:
- Practice Superuser role
- Report Reader role
Note: To activate the Prepayment Plan Tracking report, use the Activate Reports page.

- Display the Report Library: On the Main Menu, click Reports. Under General, click Report Library.
- Click the Billing Operations tab.
- Click run next to Prepayment Plan Tracking Report in the Standard Reports section of the tab.
The Run Report: Prepayment Plan Tracking Report page appears. - Date range — Enter the start and end dates for the prepayment plans that you want to include in the report, or select a date range from the menu.
Note: To include all prepayment plans in the report, select the Show All option. - Date Type — Select Plan Created or Expected Service Date.
- Plan Created — Display prepayment plans based on the date that the plan was created.
- Expected Service Date — Display prepayment plans based on the expected date of the service that the plan was created for.
- Plan Status — Select Active or Deactive (that is, deactivated).
- Prepayment Created By — To display prepayment plans created by specific users only, click Selected and then select the users from the list.
- Department — To display prepayment plans associated with specific departments only, click Selected and then select the departments from the list.
- Provider — To display prepayment plans associated with specific providers only, click Selected and then select the providers from the list.
- Report Format — Select the format for your report results.
- HTML table — Display the report results on your screen.
- Text (tab-delimited) — Export the report results to a .csv file in tab-delimited format.
- Text (comma-delimited) — Export the report results to a .csv file in comma-delimited format.
- Report Options — Select report options.
- Suppress Column Headings — Select this option to remove column headings from the report results.
- Suppress Report Name — Select this option to remove the report name from the report results.
- Show Filter Criteria — Select this option to include your selected filter criteria in the report results.
- Run Offline (will appear in your Reports Inbox tomorrow morning) — Select this option for very long reports. Reports that are run offline appear in your Report Inbox the morning after the request.
- Click Run Report.

Patient ID | Unique identifying number of the patient. |
Patient First Name | First name of the patient. |
Patient Last Name | Last name of the patient. |
Expected Department | Department associated with the prepayment plan. |
Expected Provider Name | Provider associated with the prepayment plan. |
Plan Amount | Dollar amount tied to the prepayment plan. |
Total Payments | Total amount in dollars that has been paid toward the prepayment plan. |
Payment Percentage | Percentage that has been paid toward the prepayment plan balance. |
Plan Outstanding | Remaining dollar balance on the prepayment plan. |
Prepayment Amount Unapplied |
Amount of unapplied payments associated the prepayment plan. |
Total Account Unapplied |
Amount of unapplied payments tied to the patient's account (including unapplied payments tied to the prepayment plan). Note: For information about applying prepayment amounts to patient outstanding balances, see Prepayments Worklist. |
Plan Status | Indicates whether the prepayment plan is active or deactivated. |
Expected Service Date | Expected date of service for which the plan is billed. |
Past Service Date Y/N | Indicates whether the prepayment was associated with a previous date of service (Yes or No). |
Plan Created By | User who created the prepayment plan. |
Plan Created | Date that the prepayment plan was created. |
Deactivation Reason | Reason why the prepayment plan was deactivated, if applicable. |
Patient Outstanding Balance | Outstanding dollar balance due on the patient's account. |
Total Unpaid Collections | Amount on the patient account balance that has been sent to collections but is not paid. |
Open Ins Claim Balance | Total amount owed by insurance. |
Open Pt Claim Balance | Total amount owed by the patient. |
Prepayment Plan ID | Unique identifier of the prepayment plan. |
Prepayment Plan Name | Name of the prepayment plan. |
