Practice Files
This page allows practice managers to transmit files to athenahealth. For example, you can use this page to send import files, billing slips, forms, and fee schedules. athenahealth can use this page to send you files, specifically patient safety reports.
On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Practice Files
To access this page, you must have the Billing Admin: Practice Files permission.
- Display the Practice Files page: On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Practice Files.
- Click Add new.
- Click the Choose File button and select the file to upload. The path and filename appear in the File text box.
- Category — Select the file category.
- Type — Select the document type from the list.
- Notes — Enter any notes to associate with the file (optional). The character limit is roughly five lines of text.
- Click Save.
The file appears at the top of the list of files. (The list is sorted by the Uploaded column, most recent files at the top of the list.) - Please notify athenahealth that you uploaded a file by selecting Support > Create Case or Call in the Main Menu. athenahealth does not receive automatic notification.
This procedure requires that the ERA File Upload feature be enabled for your organization.
Note: You can also upload ERA files using the Submit Remittance tab of the Manage Remittance page and using the Remittance Record page.
- Display the Practice Files page: On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Practice Files.
- Click Add new.
- Click the Choose File button and select the zip file to upload.
- Category — Select the ERA Upload category.
- Notes — Include this text in the Notes field: "835 Files."
- Click Save.
athenahealth is automatically notified that you uploaded an ERA file.
You can upload QRDA I files from your legacy EHR system so that Persivia can aggregate them with your athenaOne data for the current eCQM reporting period. The aggregated data is displayed on the Persivia eCQM dashboard.
Note: Persivia requires six weeks to compile the data.
Persivia recommends using the 2017 format QRDA files to ensure full consumption of the files by Persivia; if any format differences exist, some data may be dropped or the files may fail. The incoming QRDA I file for upload must be in .xml format and follow this naming convention:
cmsid_"qrda1"_yyyymmdd_patientid.xml
For example, a file could be named:
123456_"qrda1"_20190101_patientid.xml.
To upload a QRDA I file to athenaOne:
- Display the Practice Files page: On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Practice Files.
- Click Add new.
The Add Practice File section expands. - Click the Choose File button and select the file to upload.
The file must be in .xml format and follow this naming convention: cmsid_"qrda1"_yyyymmdd_patientid.xml (for example, 123456_"qrda1"_20190101_patientid.xml). - Category — Select QRDA Files.
- Type — Select QRDA Files.
- Notes — Enter any notes to associate with the file. The character limit is roughly five lines of text.
- Click Save.
The file appears at the top of the list of files. (The list is sorted by the Uploaded column, with the most recent files at the top.) - Notify athenahealth that you uploaded a file by selecting Support > Create Case or Call in the Main Menu.
After a CCDA data export job is completed, you can download and display the files using the Practice Files 2.0 page.
- Display the Practice Files 2.0 page: On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneousubl, click Practice Files 2.0.
- You can search for CCDA export files from the list of Practice files by filtering for CATEGORY = Data Archive and TYPE = CCDA. The filter function is available to the right of the search box on Practice Files 2.0 page.
- Click the download link. The .zip file contains:
- One .xml file per patient ID for ambulatory patients.
- Two .xml files per patient ID for hospital patients. One .xml file contains ambulatory information, and the other file contains hospital information.
- Unzip the file to extract each .xml file in it.
- Open the .xml file for a patient in a browser window to view the exported CCDA file for that patient.

When you upload a file to athenahealth, you are, in effect, sending it to us. The uploaded file becomes available to athenahealth staff, who can, in turn, download the file for internal use on your behalf.
Important: After you successfully upload your files, you must notify the CSC by selecting Support > Create Case or Call in the Main Menu so that we know that your files have arrived and are awaiting action by athenahealth.
athenahealth may temporarily lock a file to run reconfiguration and import scripts using data files directly from the Practice Files page. When we lock a file and use it in a script, you cannot modify or delete the file. After we complete the necessary script, we unlock the file for your use.
If a patient safety issue generates an impact report for your organization, your Customer Success Manager sends an email alert to the patient safety contact person at your organization (one or more contact persons are designated by your Customer Success Manager). This email includes a link to the Practice Files page, where you can access the list of patients who may be affected by the patient safety issue.
Note: Patient safety issues that do not generate an impact report appear in your athenaNetwork postings.
To access the patient safety report for the first time, you must click the link in the email. After the document is displayed using the email link, any user with the Billing Admin: Practice Files permission can view the report.
Important: To ensure that you receive email messages about patient safety, please allow traffic to comms.athenahealth.com or the athenahealth email IP address: 13.111.14.10.
If your organization is part of a reporting network
A reporting network includes a parent organization and the smaller entities under it. A reporting network connects all practices within an organization, allowing you to standardize certain configurations and policies throughout the organization and allowing athenahealth to provide performance metrics for your entire organization. If your organization uses a reporting network, administrators who oversee patient safety for the organization can access all impact reports associated with the reporting network on the Practice Files page. After the patient safety contact clicks the link in the athenahealth email, the patient safety impact reports can be viewed by users with access to the reporting network and to the Practice Files page.
Administrators can also forward patient safety report emails from athenahealth to other patient safety contacts within the organization, directing them to access practice-specific impact reports.
Note: If you are part of a reporting network, your notification email contains additional instructions to access the Practice Files page for the entire organization.
To enable the ERA File Upload feature, please contact the CSC by selecting Support > Create Case or Call in the Main Menu, and request a case for Practice Files ERA Upload Process.

In some cases, athenahealth is unable to enroll directly with a payer or clearinghouse to obtain Electronic Remittance Advice (ERA) for an organization. Most often, we cannot obtain ERA due to a shared TIN scenario when a non-athenaOne entity is the desired primary receiver of ERA files that include athenaOne claims. You can use the ERA Upload Process to share those files with athenahealth.
- The file must be a valid ANSI 835 ERA file for a payer that is live with ERA at athenaOne. See the ERA Payers List for more information.
- Scanned paper remits (.pdf files) cannot be provided in this manner. Please use the Manage Remittance page for that purpose.
- ERA files can be zipped together and uploaded in bulk. Zip files must contain raw ERA files only. Please do not zip together already zipped files, because the decompression script runs only once.
- ERA files are text files created by payers in a standard industry format. The file extensions can include .txt, .835, .era, and others.
Note: Unlike other file uploads, it is not necessary to alert athenahealth that the ERA files have been uploaded.
