External Scheduling Analysis Report
The External Scheduling Analysis report shows how well your overall scheduling configuration is suited to take advantage of external scheduling. This Report Library report shows external scheduling availability and utilization for the past 30 days, as well as for the upcoming 30 days, based on current configurations. This information can be broken down by external scheduling platform or appointment type for each provider and department in your facility.
You must have the Report: Report Library: Schedules user permission to run the External Scheduling Analysis Report.
By exposing more of your schedule to external scheduling platforms, such as Patient Portal users and third-party athenahealth Marketplace partners, your facility can book more appointments and make better use of valuable provider time. The External Scheduling Analysis report considers a variety of settings, configurations, and the mix of appointments actually booked in your facility to identify opportunities to increase scheduling exposure.
External scheduling can consist of any of these scheduling platforms:
- athenaCommunicator Patient Portal (Web scheduling).
- athenaCoordinator direct scheduling.
Note: Only clients participating in direct scheduling can access and use direct scheduling. - Marketplace partners with scheduling capabilities, such as Healthgrades, iTriage, ZocDoc, Vitals, Everseat, and InQuicker.
The External Scheduling Analysis report helps you evaluate the net impact of the following configurations on your overall external scheduling exposure:
- athenaCommunicator Web scheduling appointment settings — For more information, see Web Scheduling for Patients.
- athenaCoordinator direct scheduling appointment type mapping — On the Main
Menu, click Settings > Coordinator. In the left menu, under Practice Links — Direct Scheduling, click Appointment Type Mapping.
Note: Only clients participating in direct scheduling can access and use direct scheduling. - Provider appointment templates — For more information, see the Appointment Settings page.
- Appointment type configuration (such as generic configuration) — For more information, see the Appointment Types page.
- Display the Report Library page: On the Main Menu, click Reports. Under General, click Report Library.
- Click the Schedules tab.
- Under Standard Reports, locate the External Scheduling Analysis report.
- Click run.
- Use the default settings or select your report criteria.
- Department — Click All or click Selected to display a list of departments to choose from.
- Provider — Click All or click Selected to display a list of providers to choose from.
- Appointment Type — Click All or click Selected to display a list of appointment types to choose from.
Note: If an appointment type is configured with the Restrict search results option set to Yes, generic slots are not included in search results when this appointment type is scheduled. - Scheduling Platform — Click All or click Selected to display the list of scheduling platforms to choose from. These platforms can include Direct Scheduling, Web Scheduling, and athenahealth Marketplace partners, depending on the platforms configured for your facility.
- Breakdown by Appointment Type — Select this option to display information broken down by appointment type (selected using the Appointment Type field).
- Report Format — Select the report format.
- Report Options — Select options for your report display.
- Set this report to run on a schedule as you normally would for other reports.
Note: This report shows only appointment types that patients can book. Your template-only and non-patient appointment types do not appear in this report, because patients cannot book those appointment types.
