User Guide — Pre-Visit Overview

Before a patient arrives for a visit, you can use athenaOne to accomplish a series of pre-visit tasks for new and current patients.
You can register a new patient over the phone using the Patient Registration page: On the Main Menu, click Patients. Under PATIENT REGISTRATION, click New Patient Registration.
After you enter the registration information, you should ask the patient for insurance policy information. Enter the name of the insurance plan in the Patient notes field at the top of the Quickview page. When the patient arrives for the appointment, you can use the patient's insurance card to register the insurance package and complete the insurance policy details.
With the athenaCollector service, if the new patient wants to pay out-of-pocket, scroll down to the Insurances heading and click the add new link next to the Primary field. Then, on the Add Policy page, select *SELF-PAY* [0] from the list of insurances.
First, locate the Quickview page using the Find patient tool located on the Main Menu.
Verify the demographic registration information. Do not ask if anything has changed because the patient may not remember. Instead, read the demographic information on the Quickview page and ask the patient to verify it. You can also access the Patient Registration page: On the Patient Actions Bar, click Registration, and then click Full Registration.
Next, verify the insurance information. Do not ask if anything has changed because the patient may not remember. Instead, ask the patient for the name of the insurance plan and compare it to the current insurance policy in athenaOne.
With the athenaCollector service, if the patient wants to pay out-of-pocket, scroll down to the Insurances heading and click the add new link next to the Primary field. Then, on the Add Policy page, select *SELF-PAY* [0] from the list of insurances.
From the Quickview page, click the cancel or reschedule link next to the linked appointment under the Appointments heading. On the Cancel/Reschedule Appointment page, select a cancellation reason from the Reason for cancellation list, then click Cancel Appointment or Reschedule to reschedule the appointment now.
When you cancel an appointment, you can click Reschedule on the Cancel/Reschedule Appointment page to display the Appointment Rescheduling page. From the Quickview page, you can click the Schedule link under the "Appointments" heading.
