View Patient Appointments
This page allows you to view all appointments that have been scheduled for a patient. For each appointment, the page displays the appointment date, time, department, provider, appointment type, and any appointment notes.
On the Patient Actions Bar, click Scheduling, and then click View Patient Appointments
On the Quickview, in the Appointments heading, click View patient appointments
- Display the View Patient Appointments page: On the Patient Actions Bar, click Scheduling, and then click View Patient Appointments.
- Click Print upcoming appointments.
Select the upcoming appointment reminders to print. You can select up to 10 appointments. - Click Print. The printout includes the department address and phone number information, as well as the appointment details.
- Display the View Patient Appointments page for the patient: On the Patient Actions Bar, click Scheduling, and then click View Patient Appointments.
- Locate the cancelled appointment in the table (the Status column for a cancelled appointment displays "x cancelled:" with the reason for the cancellation).
- Click
the linked date and time in the Date/Time column.
The Appointment Status page appears. - From the Reason for cancellation menu, select a different cancellation reason for the appointment.
- Click Update. The cancellation reason is updated.
You can cancel and reschedule some appointments from the View Patient Appointments page.
If the status of an appointment is "f filled"
Click the cancel or reschedule link in the rightmost column of the View Patient Appointments table.
The Cancel/Reschedule Appointment page appears.
If the status of an appointment is "x cancelled"
Click the reschedule link in the rightmost column of the View Patient Appointments table.
The Schedule Appointment page appears with the appointment type, department, and provider filters already selected (based on the cancelled appointment).
- Display the View Patient Appointments page: On the Patient Actions Bar, click Scheduling, and then click View Patient Appointments.
- At the top of the list of appointments, click the Cancel multiple appointments link.
The Cancel Existing Appointments window opens. - Select the appointments to cancel.
- Reason — Select a cancellation reason.
- Click OK.
The View Patient Appointments page provides a list of all appointments scheduled for a patient. At the top of the View Patient Appointments page, you can:
- Click the Show all details link to display detailed information about the services rendered for each appointment in the Type column of the table, including the date of service, procedure description, and provider name.
- Click the Show all provider groups link to display the patient's appointments in all provider groups in your practice (if your practice uses provider groups).
Click any column heading to sort the View Patient Appointments table by that column: Date/Time, Status, Department, Provider, or Type.
You can click the date and time for an appointment in the Date/Time column to display the appropriate athenaOne page. The page that you see depends on the status of the appointment (shown in the Status column).

The Status column of the View Patient Appointments page shows the status of the appointment as follows:
- f filled
- x cancelled (the cancellation reason is shown on the next line)
- Z frozen
- 4 claim created
- 3 checked out
- 2 checked in
The Status column includes an Audit history link for each appointment, which shows a complete history of the appointment.
The Type column of the View Patient Appointments page shows the appointment type (configured on the Appointment Types page).
For each appointment, you can click the Show details link to display the appointment note, as well as information about the services rendered during the appointment, including the date of service, procedure description, and provider name. After you click Show details, you can click the Edit link to display the Update Appointment Note page.
Note: To display the detailed information for all appointments, click the Show all details link at the top of the View Patient Appointments page. (The link name changes to Hide all details.)
The Appointment Cancellation History at the bottom of the View Patient Appointments page shows a tally of cancelled appointments by department and by cancellation reason (Rescheduled, Provider Unavailable, No-Show, and Other). A multiresource appointment with multiple slots counts as one appointment in this tally.
The Appointment Cancellation History may be particularly useful if yours is a large, multi-department practice whose patient dismissal policy differs in each department. For example, if a patient misses three appointments with an eye doctor, the patient may be dismissed from the vision care department, but should still be allowed to make appointments with the primary care physician.
For a patient with a long history of no-shows, you can add text in the Patient notes field on the Quickview page warning front office staff not to schedule appointments.

The appointment date and time. You can click the date and time of an appointment in this column to display the appropriate athenaOne page. For example, if you click the date and time of an appointment with the status "4 claim created," the Claim: Billing tab of the Checkout page appears. |

The status of the appointment is one of the following:
Each appointment on this page includes an Audit history link in the Status column. The audit history shows a complete history of the appointment. |

Type |
Appointment type, with the time allotted for the appointment. Each appointment on this page includes a Show details link in the Type column. Click this link to display the appointment note, as well as information about the services rendered during the appointment, including the date of service, procedure description, and provider name.
After you click Show details, you can click the Edit link to display the Update Appointment Note page.
