Custom Fields
athenaOne for Hospitals & Health Systems
This page allows you to create and administer custom fields in athenaOne. You can use custom fields to store patient- or appointment-related data, such as clinical trial information, and to track financial records, hospital records, driver's licenses, and so on. You can make a custom field print on patient labels, schedules, or chart pull guides. If your practice has the Patient Rounding Lists feature enabled, you can also create custom fields for hospital admissions.
On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Custom Fields
Your practice must have the Custom Fields feature enabled to access this page.
- In the Main Menu at the upper right, enter the search criteria in the Find patient search box.
- Select Custom ID from the menu.
- Click the search icon .
- Display the Custom Fields page: On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Custom Fields.
- Click Add new.
The Add Custom Field view appears. - Field name — Enter the custom field name.
- Field type — Select one of these options (not all of these options may be available):
- Text — alphanumeric
- Number — numbers only, up to 999999999999
- Date — MM/DD/YYYY format
- Referring Provider
- Privacy Checkbox
- Maximum # characters — Specify the maximum number of characters (up to 100).
Note: This option is available only when the Field type is set to Text. - Associate with — Select an option from the list to specify where the custom field will appear.
- Patient — Select this option if this custom field should appear on the Quickview and Patient Registration pages.
- Admission — Select this option if this custom field should appear on the admit history and patient rounding lists. (Your practice must use the Patient Rounding Lists feature to see this page.)
- Appointment — Select this option if this custom field should appear on appointment-related pages.
- Department — Select this option if this custom field should appear on the Departments page.
- Provider — Select this option if this custom field should appear on the Providers page.
- Claim — Select this option if this custom field should appear on the Claim Edit page.
- Visit — (Available for athenaOne for Hospitals & Health Systems only) Select this option if this custom field should appear on visit-related pages.
- Ordering — Enter a value to indicate the order for this custom field.
- Options — Select one or more options for this custom field.
Note: For patient fields, if you do not want this custom field to appear in patient search results, deselect the Show in patient search results option. - Click Save or Save and Add Another.
Note: After a custom field is created, do not change the Field type (changing the type may invalidate the data already collected in this field). Instead you can delete the custom field and then create a new field with the correct Field type.
- Display the Custom Fields page: On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Custom Fields.
- Click Add new.
The Add Custom Field view appears. - Field name — Enter the custom field name.
- Field type — Select Referring Provider.
- Associate with — Select an option from the list.
- Patient — Select this option if this custom field should appear on the Quickview and Patient Registration pages.
- Admission — Select this option if this custom field should appear on the admit history and patient rounding lists. (Your practice must use the Patient Rounding Lists feature to see this page.)
- Appointment — Select this option if this custom field should appear on appointment-related pages.
- Department — Select this option if this custom field should appear on the Departments page.
- Claim — Select this option if this custom field should appear on the Claim Edit page.
- Visit — (Available for athenaOne for Hospitals & Health Systems only) Select this option if this custom field should appear on visit-related pages.
- Ordering — Enter a value to indicate the order for this custom field.
- Options — Select one or more options for this custom field.
- Click Save.
If your practice uses non-standard privacy consent forms, you can use the Custom Fields page to create privacy consent checkboxes for these forms. The checkboxes appear in the Privacy section of the Patient Registration, Quickview and Check-in pages.
The privacy forms are created as signature pad PDF forms on the Forms and Documents page. On the Forms and Documents page you associate the custom forms with the checkboxes you created on the Custom Fields page. When a patient signs the privacy consent form, the checkboxes for the form in the Privacy section are automatically checked off.
- Display the Custom Fields page: On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Custom Fields.
- Click Add new.
The Add Custom Field view appears. - Field name — Enter a descriptive name for the custom field.
- Field type — Select Privacy Checkbox.
- Associate with — Patient is selected. You cannot change this option.
- Ordering — Enter a value to indicate the order for this custom field.
- Options — Select one or more options for this custom field.
- Sync across enterprise patients — Select this option to allow the field to be included
in the Common Patient Index.
Note: This option appears for athenaEnterprise clients only. - Disallow update — Select this option to display the custom field as a read-only field.
- View on full registration only — Select this option to display the custom field on the Patient Registration page but not on the patient Quickview.
- Click Save.
- Display the Custom Fields page: On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Custom Fields.
- Click edit next to the custom field that you want to make searchable.
- Options — Select the Make searchable option.
- Click Save.
You can now search for this field using the find patient tool.
- Display the Custom Fields page: On the Main Menu, click Settings > Practice Manager. In the left menu, under Practice Links — Miscellaneous, click Custom Fields.
- Click edit next to the custom field that you want to hide from the patient search results. The custom field must have the Associate with option set to Patient.
- Options — Deselect the Show in patient search results option.
- Click Save.
The information in this custom field no longer appears in the Custom Field column of patient search results.
athenaEnterprise organizations can specify which custom fields are shared across provider groups.
You can also create a custom field with a field type of Referring Provider that uses the Referring Provider Lookup tool (instead of a text field or drop-down menu). With this field, you can assign providers involved in a patient's care, such as their PCP, at the patient level.
Many custom fields that you create using the Custom Fields page are available in the Report Builder.
- Custom admission fields are available in the Admission category on the Choose Display Columns tab and the Choose & Set Filters tab in the Report Builder.
