User Guide — Reporting for athenaClinicals
Clinicals sections are available in Report Builder so that you can build and store your own clinical reports.
To access the clinical report types in the Report Builder (Clinicals — Document Actions, Clinicals — Encounter Activity, Clinicals — Encounters, or Clinicals), you must have the Clinicals user permission and at least one of the following:
- Practice Superuser role
- Report Reader role
- Report: Report Builder: Clinicals permission
You can use the Report Builder to build clinical reports and save them in the Report Library. On the Choose Report Type tab, select one of the clinical report types — for example, Clinicals — Document Actions or Clinicals — Encounter Activity — and then follow the usual steps to build a report.
The easiest way to get started with the clinical report types is to click the Dig Deeper with Report Builder > links in your Performance Reviews reports. Click this link to display the Report Builder for a report of the same type, dimensions, measures, and filters used in the Performance Reviews reports for all your practice's providers.
In the Report Builder, you can click the plus sign to expand groups of columns, then hover over each column for a description of that column. To run the report, click Run Report at the bottom of the page, then select your output method to view the report.
As you become more familiar with the metrics, you may wish to adjust the report parameters to create a custom report to suit your specific reporting needs.
- Display the Report Builder page: On the Main Menu, click Reports. Under General, click Report Builder.
- Click one of the Clinicals options and then click the Choose Display Columns tab to get started. The available columns include many clinical data elements that you can display and filter.
- Select columns and row filters to build your clinical report.
- When you click Run Report, a dialog box appears. You can elect to deidentify
all patient data in the report output.
The checkbox labeled Show Reporting Restricted Patients refers to the reporting restrictions option on the Privacy Information page. You can click the reporting restrictions link to exclude a patient from report results whenever you run reports. From that point on, no reports will include the restricted patient unless you select the Show Reporting Restricted Patients option when running the report.
- Display the Report Builder page: On the Main Menu, click Reports. Under General, click Report Builder.
- Click the Clinicals option.
- Click the Choose Display Columns tab.
- Select the display columns:
- Clinical Order > Clinical Order Document ID
- Clinical Provider > Approving Provider
- Clinical Order > Clinical Order Status
- Click the Choose & Set Filters tab.
- Select the row filters:
- Clinical Order > Clinical Order Type Group
- Clinical Order > Clinical Order Date
- Set the Clinical Order Type Group to include only prescriptions.
- Set the Clinical Order Date to Today.
- Click Run Report.
- Select the type of report and output options, and then click OK.
- Display the Report Builder page: On the Main Menu, click Reports. Under General, click Report Builder.
- Click the Clinicals option.
- Click the Choose Display Columns tab.
- Select the display columns:
- Clinical Provider > Approving Provider
- Measures > Clinical Order Count
- Appointment > Appointment Month
- Clinical Order > Clinical Order Type Group
- Diagnosis code > Clinical Order Diagnosis Code
Note: You can search by entering ICD-9 codes, ICD-10 codes, or SNOMED terms. If you have converted to SNOMED and want to search by SNOMED diagnoses, select Clinical Order SNOMED Diagnosis.
- Click the Choose & Set Filters tab.
- Select the row filters:
- Appointment > Appointment Month — Select Year-to-Date from the menu to display orders placed in the current year.
- Diagnosis Code > Clinical Order Diagnosis Code — Enter a period (.) to access the diagnosis lookup tool and select the desired diagnosis code. You can search by entering ICD-9 codes, ICD-10 codes, or SNOMED terms.
If you have converted to SNOMED, choose Encounter Diagnosis Code - SNOMED > Encounter diagnosis code - SNOMED. - Clinical Order > Clinical Order Type Group — Select PRESCRIPTION to limit results to prescription orders only.
- Click Run Report.
- Select the type of report and output options, and then click OK. athenaOne generates your report.
- Display the Report Builder page: On the Main Menu, click Reports. Under General, click Report Builder.
- Click the Clinicals option.
- Click the Choose Display Columns tab.
- Select the display columns:
- Appointment > Appointment Month
- Clinical Order > You can select Clinical Order (order name)
- Clinical Order > Clinical Order Patient ID
- Clinical Order > Clinical Order Approved Date
- Clinical Order > Quantity Prescribed
- Clinical Order > Number of Refills
- Click the Choose & Set Filters tab.
- Select the row filters:
- Appointment > Appointment Month > Select a date range.
- Clinical Order > Medication DEA Schedule > Schedule II.
- Click Run Report.
- Select the type of report and output options, and then click OK.
athenaOne generates your report.
Note: Reporting on a patient's family history is available only if your practice has converted to SNOMED.
- Display the Report Builder page: On the Main Menu, click Reports. Under General, click Report Builder.
- Select the Clinicals report type.
- Click the Choose Display Columns tab.
- Select the display columns to include in the report:
- Patient > Patient ID.
- Family History > Family History - Problem.
- Family History > Family History - Relationship.
- Family History > Family History - Notes.
- Click the Choose & Set Filters tab.
- Configure the report to be filtered by problem type, specifically, asthma:
- Family History > Family History - Problem.
- Under Filter Criteria, begin to type the word "asthma" in the text box and then select it in the list that appears.
- Click Run Report.
- Select the report format and click OK.
- Display the Report Builder page: On the Main Menu, click Reports. Under General, click Report Builder.
- Select the Clinicals report type.
- Click the Choose Display Columns tab.
- Select the display columns to include in the report:
- Patient > Patient ID.
- Family History > Family History - Problem.
- Family History > Family History - Relationship.
- Family History > Family History - Notes.
- Click the Choose & Set Filters tab.
- Select Appointment > Appointment Month.
- Select Previous Month from the list.
Tip: You could also add the Family History - Problem filter and configure it to restrict the report to one or more problems. - Click Run Report.
- Select the report format and click OK.
- Display the Report Builder page: On the Main Menu, click Reports. Under General, click Report Builder.
- Select the Clinicals report type.
- Click the Choose Display Columns tab.
- Select the following columns to include in the report:
- Patient > Patient ID.
- Past Medical History > Asthma.
Note: The Past Medical History category displays a question/note pair of columns for every past medical history question configured for your practice. Questions have a value of Yes, No, or blank. Notes fields display any entered text.
- Click the Choose & Set Filters tab.
- Select Past Medical History > Asthma as the filter criteria.
- Select Appointment > Appointment Month as the filter criteria. Then select Previous Month from the list.
- Click Run Report.
- Select the report format and click OK.
- Display the Report Builder page: On the Main Menu, click Reports. Under General, click Report Builder.
- Select the Clinicals report type.
- Click the Choose Display Columns tab.
- Select Measures > Clinical Patient Count.
- Click the Choose & Set Filters tab.
- Select Past Medical History > diabetes as the filter criteria and click yes.
- Click Run Report.
- Select the report format and click OK.
Note: Surgical history reporting excludes any histories that have been marked as deactivated.
- Display the Report Builder page: On the Main Menu, click Reports. Under General, click Report Builder.
- Select the Clinicals report type.
- Click the Choose Display Columns tab.
- Select the following columns to include in the report:
- Patient > Patient ID
- Surgical History > Surgical History - Date
- Surgical History > Surgical History - Notes
- Click the Choose & Set Filters tab.
- Select Surgical History > Procedure.
- In the text field, begin typing "Cesarean delivery" and click that option when it appears in the list.
- Click Run Report.
- Select the report format and click OK.
You can use the Report Builder to build reports about clinical documents and save them in the Report Library. From the Choose Report Type tab, under the Type column, select the Clinicals — Document Actions report type and then follow the steps to build a report.
On the Choose Display Columns tab for the Clinicals — Document Actions report type, you can select display columns for your reports from the following column categories:
- Clinical Document — Columns in this category include Document Class, Document Creation Date, and Document ID.
- Clinical Document Action — Columns in this category include Document Action, Document Action Assigned To, Document Action Creation Date, and Document Action Priority (1 = STAT).
- Document Provider — Columns in this category include Approving Provider, Approving Provider Type, Clinical Provider ID, Clinical Provider Tax ID, and Clinical Provider Type.
- Location — Columns in this category include Service Department, Service Department - Type of Bill, and Service Department Place of Service Type.
- Patient — Columns in this category include Patient Deceased Date, Patient ID, and Patient Name.
- Measures — Columns in this category include Document Action Count, Document Count, Provider Document Action Count, and Staff Document Action Count.
User access and permissions
To access the Clinicals — Document Actions report type in the Report Builder, you need the Clinicals user permission and at least one of the following:
- Practice Superuser role
- Report Reader role
- Report: Report Builder: Clinicals permission
You can use the Report Builder to build reports about encounter documentation time, intake documentation time, and encounter close rates and save them in the Report Library. From the Choose Report Type tab, under the Type column, select the Clinicals — Encounter Activity report type and then follow the steps to build a report.
On the Choose Display Columns tab for the Clinicals — Encounter Activity report type, the Measures category provides display columns for provider documentation time.
The Sentinel Metrics Dashboard displays the post-visit documentation rate (PVDR) metric. The PVDR is the percentage of provider documentation time outside the Intake, Exam, and Sign-off stages divided by the total documentation time for an encounter. User access and permissions
To access the Clinicals — Encounter Activity report type in the Report Builder, you need the Clinicals user permission and at least one of the following:
- Practice Superuser role
- Report Reader role
- Report: Report Builder: Clinicals permission

If you would like to move or publish any of your reports to the Clinicals tab, contact the CSC by selecting Support > Create Case or Call in the Main Menu.
To see which clinical providers are in your local networks and what types of orders they accept, you can run the Local Network Clinical Providers report. This report also includes information about the receiving providers, such as their contact information, clinical provider ID, NPI, and type of practice or specialty.
Note: This report is available to all organizations configured with a local network.
To run the Local Network Clinical Providers report:
- Display the Report Library page: On the Main Menu, click Reports. Under General, click Report Library.
- Click the Other tab.
- Scroll down to Local Network Clinical Providers and click run.
The Run Report: Local Network Clinical Providers page appears. - Report Format — Select the format for your report results.
- HTML table — Display the report results on your screen.
- Text (tab-delimited) — Export the report results to a .csv file in tab-delimited format.
- Text (comma-delimited) — Export the report results to a .csv file in comma-delimited format.
- Report Options — Select or deselect report options.
- Suppress Column Headings — Select this option to remove column headings from the report results.
- Suppress Report Name — Select this option to remove the report name from the report results.
- Run Offline (will appear in your Report Inbox tomorrow morning) — Select this option for very long reports. Reports that are run offline appear in your Report Inbox the morning after the request.
- Click Run Report.
Our athenaClinicals service also includes the Quality Management Reporting page. This page allows you to report on measures from quality management programs. You can view a summary of how an enrolled provider is performing on enrolled measures and then view detailed patient-level information using links provided in the report.
